£40-45K * 12 month FTC * Central London. Monthly travel to UK wide sites will be required.

Provide support to the Head of Workspace and Property, ensuring smooth coordination across day-to-day project activities within the Workspace team. Assist with the planning and delivery of a variety of workspace projects. Establish and maintain a central repository of key documents and project materials within Microsoft Teams, promoting easy access and collaboration across the team. Collaborate closely with the Helpdesk team to support the development and implementation of the Workspace Helpdesk system, working alongside internal IT and gathering necessary information. Partner with BGIS to compile and maintain a comprehensive asset register for equipment outside of the Project Thursday scope. Act as support to the Head of Workspace and Property for large events.

Key Responsibilities

  • Project Administration (25%): Keep Workspace projects running smoothly by staying on top of day-to-day admin tasks. From tracking updates to supporting project documentation, you’ll be the organisational backbone of the team.
  • Information Management (25%): Maintain the central database for all things Workspace. You’ll ensure key documents, timelines, and updates are stored, structured, and easy to access for the whole team.
  • Helpdesk Development (25%): Drive progress on the Workspace Helpdesk project. You’ll work closely with the Helpdesk team and internal IT to gather intel, shape functionality, and help bring the system to life.
  • Asset Coordination (25%): Collaborate with BGIS to build a clear, accurate asset list.

What You’ll Need

  • Proactive Mindset: A can-do attitude with an eagerness to get involved from day one.
  • Workspace Awareness: An appreciation that Facilities and Workspace roles go beyond a standard 9–5—flexibility and responsiveness are key.
  • Detail Orientation: Sharp attention to detail with the ability to deliver clear, concise information at pace.
  • Strong Communicator: Confident in building relationships across teams, with a natural flair for networking beyond just the immediate Workspace team.
  • Minimum of 3 years’ experience in Facilities Project or similar support role.
  • Strong IT skills, with confident use of: Microsoft Excel, Word, Outlook and Teams (preferred) also knowledge of Workday (preferred).
  • MS Project (advantageous but not essential).
