The Role

We are looking for a Finance and Executive Assistant to take ownership of our operations and finance functions. This role spans financial administration, reporting, cash flow management, office and travel coordination, and diary management, to help the co-founders to run the business.

The ideal candidate has excellent attention to detail and organisational skills, is proactive, and is driven to grow at a scaling up business. Play a vital role in supporting the leadership team and improving processes and systems at a dynamic and exciting business.

Financial Management

  • Prepare monthly management accounts alongside our external accountant (P&L, balance sheet, cash flow)
  • Assist with budgeting, and financial planning
  • Oversee the purchase and sales ledger, raise invoices, and manage bill payments
  • Prepare, send and follow-up on invoices over email or on the phone when required (approx. 300 per year)
  • Send payments to suppliers including contractors, run payroll if required
  • Reconcile all financial transactions on Xero
  • Monitor cash flow and provide updates to management
  • Support VAT returns, PAYE, and corporation tax compliance
  • Liaise with external accountants for year-end accounts and audits
  • Provide financial analysis on profit margins, supplier spend, and marketing/sales effectiveness
  • Manage freelancer costs and other key company expenses
  • Support the implementation of process improvements and financial controls

Operations & Office Management

  • Manage day-to-day office operations, including supplies, contracts, and vendor relationships
  • Manage expenses for 30 staff members, upskill others to complete their invoicing correctly
  • Run international travel bookings (flights, trains, accommodation) for team members
  • Handle international logistics, such as camera equipment shipments, visas, and carnet submissions
  • Manage diaries for senior leadership, ensuring efficient scheduling
  • Assist with onboarding new clients and suppliers, including form submissions and contracts
  • Liaise with external lawyers when required
  • Organise monthly team meetings, activities, and occasional social events including birthdays

Skills & Experience

  • Finance or executive assistant experience, ideally within a fast-paced and growing business
  • Excel skills and familiarity with financial systems (Xero, Dext, QuickBooks, etc.)
  • Financial qualifications, either qualified or part-qualified (ACCA, CIMA, ACA, or equivalent) is desired but not essential
  • Solid understanding of VAT, UK accounting standards, and financial principles
  • Excellent organisational and multitasking skills, with strong attention to detail
  • Confident communicator, comfortable working with finance and non-finance colleagues alike
  • Proactive to help others, to implement process that make the company more efficient
  • Excellent relationship builder, both for internals and externals
  • Familiarity with payroll, pensions, or HR processes (desirable)
  • Experience working with cloud-based systems and process automation (desirable)

The Offer

  • £28,000 – £32,000 salary (depending on experience)
  • Full-time Monday–Friday, with hybrid working options
