My client is currently looking for an IFA Administrator to join their team on the Wirral. The Administration Assistant will work collaboratively within the Advice Operations function to deliver effective outcomes for both internal and external stakeholders and clients. This role is essential for maintaining efficient office operations and ensuring seamless communication within the organization.

Responsibilities:

  • Process Letters of Authority and Transfer of Agencies promptly and effectively.
  • Communicate with clients, third parties, and internal teams to resolve issues or provide updates on LOA status.
  • Engage with providers and other third parties to ensure client activity is processed timely and effectively.
  • Ensure correct documentation is provided to clients and providers, and that internal systems record all actions taken.
  • Answer telephone calls, ensuring effective and compliant communication with clients, Financial Planners, or third parties.
  • Issue documentation following company procedures.
  • Escalate client complaints or breaches immediately to management or compliance.
  • Complete system-generated tasks on time, ensuring issues are escalated as needed.
  • Maintain comprehensive client information in the back-office system.
  • Act on data control reports to address exceptions and prevent client or data issues.

Experience:

  • Familiarity with general administrative tasks such as handling mail, scanning documents, and data entry.
  • Ability to manage multiple tasks, prioritize workload, and meet deadlines efficiently.
  • Professional communication skills, especially via email, for clear and effective correspondence.
  • Accuracy in recording information, producing reports, and managing supplies.
  • Proficiency with office software like Microsoft Office (Word, Excel, Outlook) and CRM systems.
  • Experience working in a team environment.
  • Demonstrate client-focused mindset and ability to multitask and prioritize workloads.
