Acting as the direct point of support for the Executive Director of the London Gallery. Assisting with all sales related tasks including artist liaison and exhibition support. The Executive Assistant will be able to take initiative and have experience and sensitivity to working with artists and must have confidence in a client facing capacity.

Job Requirements

  • Art historical background with a profound knowledge of contemporary art
  • Minimum of five years of experience in a commercial contemporary art gallery or a contemporary art institution
  • Exceptional communication skills, good sense of humour and team player
  • Exceptional command of written and spoken English
  • Advanced computer skills (ArtBase, Artnet and Google Drive)
  • Demonstrable passion for the arts, with a sound knowledge of "key players" within the international art world
  • Good lateral and strategic thinking
  • Commitment to artists, while maintaining an understanding of the commercial aspect of the gallery
  • Broad and in-depth knowledge of art history and the most recent developments in contemporary art
  • Prepared to work at gallery evening events and on a Saturday rota basis

Job Responsibilities

  • Monitor and respond to emails on behalf of Executive Director
  • Diary management, and scheduling meetings
  • Prepare meeting agendas and take minutes during internal and external meetings
  • Book travel arrangements and write itineraries
  • Provide support where necessary for gallery management
  • Support the Executive Director with all sales administration, sales correspondence with gallery clients
  • Preparation of artwork offers, sales and post sales packages
  • Raise invoices for the Executive Director and ensure these are sent to clients and keep track of payments with accountants
  • Maintain and keep track of all sales and consignments on the Director's behalf and alerting them to changes or issues as they arise
  • Prepare and send Preview mail outs for Exhibitions and Art Fairs
  • Liaising with the artists' studios who are under the management of the Executive Director and assist with external and internal exhibitions.
