We are looking for an experienced Executive Assistant to provide administrative support to our Founder and CEO, including scheduling meetings, organizing calendar appointments, managing travel, dealing with expense claims, preparing agendas, organizing and coordinating CEO communications both inside and outside the company and more, all while acting as a key representative of the Aave Companies.

As the Executive Assistant to the CEO, you’ll act as a gatekeeper and right hand to our CEO, maximizing his efficiency by effectively managing his time and removing all administrative obstacles. Reporting to the Chief of Staff, you are an effective multitasker with exceptional organizational skills and are excited about pursuing a long-term career as a C-suite Executive Assistant in a high-growth tech company.

Responsibilities:
  • Manage complex scheduling requirements across various time zones, internal teams, and external partners.
  • Anticipate the needs of the CEO, resolving operational and administrative issues before they arise.
  • Prioritise daily, weekly, and monthly schedules in line with upcoming deliverables and deadlines.
  • Arrange travel, accommodation, and appropriate appointments (both personal and business).
  • Manage constantly-shifting calendars.
  • Coordinate logistics with high-level meetings both internally and externally, serving as meeting secretary when needed.
  • Brief the CEO on upcoming meetings and deadlines for both internal and external commitments, including weekly and daily meetings to ensure schedules are calibrated for the CEO’s immediate and long-term priorities.
  • Attend to correspondence on behalf of the CEO, sending appropriate responses and preparing documentation.
  • Use discretion, confidentiality, and good judgment to handle C-Level matters.
  • Make timely decisions using independent judgment on a regular basis in a proactive manner.
  • Comfortable working in a fast-paced environment and able to juggle multiple competing tasks and deadlines.
  • Confident and able to interact and communicate with individuals at all levels of the organization.
  • Accompany CEO to conferences and events worldwide, ensuring timeliness to appointments and general support.
Requirements:
  • 5+ years of executive assistant experience supporting busy executives.
  • Enjoys helping others and making others’ priorities their own.
  • Articulate, direct and concise communicator, both written and verbal.
  • Able to maintain a high level of integrity and discretion handling confidential and sensitive information.
  • Creative problem solver who can manage complex tasks and projects.
  • Has a positive attitude and can operate calmly under pressure.
  • Excellent organisational, planning, and prioritisation skills.
  • Exceptional attention to detail.
  • Develop and maintain great relationships with key stakeholders, partners, and colleagues.
  • Ability to complete a high volume of tasks with minimal direction.
  • Dedicated to meeting the expectations of the CEO.
  • Bachelor’s degree and/or equivalent experience required.
  • London based, 5-days a week in Notting Hill office.
