Outpatient Bookings Team Leader | St Mellon's - Newport | Competitive salary plus excellent benefits | Permanent - Full time

Due to a period of innovation, Spire Healthcare's Cardiff hub is recruiting for an Outpatient Bookings Team Leader. We are looking for driven, customer-focused individuals to join our team on a full-time and permanent basis. Full training will be provided, and this is a real opportunity to commence your healthcare career. Shift patterns will vary between 8 am and 7 pm Monday to Friday and a half day on occasional Saturdays. Please note - induction will be full-time for a minimum of 2 weeks (9 am to 5 pm) - please only apply if you are able to commit to these shifts.

The purpose of this role is to ensure the delivery and administration management of all stages of the booking process across all payors across the Patient Support Centre. To ensure the outpatients admin team provides a high standard of customer service to all patients, consultants, NHS partners, staff, visitors, and key stakeholders.

Duties and responsibilities:

  • Be the team leader within a team of multi-skilled administrators who can adapt to the demands of the business and drive operational performance.
  • Adhere to HR policies and procedures within the Outpatient Appointments, including managing sickness, annual leave, and underperformance management.
  • Ensure all administrators within the team have monthly 1-2-1’s and feedback sessions and EE’s set.
  • Ensure all calls are answered in a timely manner in line with operational KPIs, delivering high standards of customer service at all times.
  • Carry out quality assessments regularly and provide feedback to the team.
  • Plan the workforce in line with activity and ensure the timely management of all administrative tasks associated with bookings, pre-op assessment, and admissions.
  • Process KPIs weekly and address any process issues to improve scores.
  • Ensure all necessary spreadsheets, systems, and processes are updated throughout the working day and provide data as required to the Patient Admissions Manager, Director of Shared Services, SMT, and HoDs.
  • Attend and contribute to regular departmental meetings and stay updated on all hospital/support centre matters relating to patient administration.
  • Deputise for the Outpatient Appointments Manager in their absence.

  • Attend training events and meetings to acquire the knowledge and skills that contribute to success in this role.
  • Perform all duties in accordance with hospital policies.
  • Attend all mandatory training sessions and any other training and development courses as required.
