The Bid Manager is responsible for all activities necessary for submitting a winning tender and becomes the point of contact with the customer from tender launch through to order receipt. This includes responsibility for internal and external communication, mentoring staff, and identifying and implementing process improvements.

Reporting Line

Responsible to the Head of Tendering.

Key Responsibilities

  • Management and administration of the tender preparation process.
  • Production and submission of the Tender document by the due date.
  • Ensure Gated Process controls are followed and documented.
  • Complete tenders within budget.
  • Allocate contract deliverables to team members.
  • Establish and maintain tender data storage and change control processes.
  • Maintain registers for risks, exclusions, assumptions, and lessons learned.
  • Manage database information.
  • Lead third-party bid leads on major opportunities when required.
  • Mentor junior team members.
  • Assist in process improvements.

Tender Preparation Tasks

  • Agree on project execution strategy.
  • Establish Work Breakdown Structure with Engineering.
  • Make/Buy decisions with Manufacturing.
  • Estimate labour hours across departments.
  • Prepare project execution commentaries.
  • Create project programme with budgets and resources.
  • Obtain quotations for materials.
  • Assess risks and compile contingency plans.
  • Compile final cost estimate.
  • Manage risks, exclusions, and assumptions registers.
  • Prepare cash flow statements and graphs.
  • Conduct internal team review.
  • Prepare bid settlement documentation for approval.

Final Tender Approval

Obtain approval through the formal Tender Approval Gate checklist.

Experience Requirements

  • Degree, HNC, or equivalent in a relevant discipline (desirable).
  • Experience in a technical engineering or manufacturing environment.
  • APMP Qualification.
  • P6 and Project Management qualifications (desirable).
  • Minimum 5 years’ experience in tender preparation.
