This is a permanent part-time position (3 days a week). Our aim is to provide a high level of customer-focused, patient care. You will have day-to-day responsibility for providing a high-quality service to the team and be able to cover colleagues as and when required. You will ensure that all patient referrals and appointments are accurately recorded on our Patient Information system, RIO. Main duties of the job The post holder will be booking appointments and interpreters, processing referrals, opening referrals on RIO, scanning and uploading, and dealing with queries from patients, GPs, and other professionals. Detailed job description and main responsibilities The role is administrative, requiring good organizational skills, attention to detail, and excellent communication skills. You will liaise regularly with clinicians and other admin staff, work well under pressure, show initiative, and be a team player. Good IT skills and previous office or reception experience, preferably in healthcare, are essential. You will be proactive and capable of working independently and as part of a team. Tasks include: Opening referrals on RIO Maintaining referral and waiting list spreadsheets Sending appointments Handling queries from patients, GPs, and professionals Booking clinic appointments Liaising with schools Printing, scanning, uploading documents Supervising a junior administrator Other office duties as required Person specification Education and qualifications GCSE English and Maths or equivalent Knowledge of Medical Terminology Skills and abilities Basic computer skills Keyboard skills for multiple systems Ability to use initiative Good organizational skills Confidentiality Ability to switch between customer care and admin tasks Follow procedures and implement changes Recognize when to escalate issues Dealing with patients and the public, including those with communication difficulties Teamwork and independent working skills Experience with Microsoft Windows, Excel, Outlook, and Word Experience Customer service experience Prioritizing work under deadlines Experience in a healthcare or NHS setting Experience with databases Handling stressful environments Empathy and insight into patient needs We reserve the right to expire vacancies early once enough applications are received.
