The Radiology Intake Representative is responsible for the flow of Radiology patient data from appointment scheduling, authorization, and registration, to final report. This includes review of physician orders, diagnosis and reimbursement requirements through patient and physician contracts. Responsibilities include the accurate collection of patient information and medical history for scheduling preparation of medical records and completion of final reports for Radiology exams using multiple computer systems.
Responsibilities
- Effectively and efficiently performs the scheduling process for all imaging studies.
- Schedules Radiologist's consultations and prepares patient files for Radiologists review.
- Correlates patient data and provides files to radiologists for scheduled exams.
- Pre-registering and registering all scheduled studies for the various departments covered.
- Screens radiology orders and reviews patient histories to expedite scheduled procedures.
- Gathers and prepares patient information related to procedures including prescription, lab work, medication, allergies, consents and patient histories in preparation for scheduled procedures.
- Reviews patient insurance requirements and documentation to ensure reimbursement.
- Performs insurance verification on all Outpatient services, and determines the patientβs out of pocket responsibility.
- Prepares and obtains authorization for procedures/studies for Interventional Radiology, PET CT, CatScan, Ultrasound, Nuclear Medicine, Biopsies as well as speciality authorizations, such as CT Lung Screenings, CT HeartFlow FFRs, Theranostic Treatments, and any other needed authorizations.
- Set up peer to peer and/or handle appeals when authorizations are denied.
- Prepare and execute FMLA/disability paperwork for patients going out on disability post procedure.
- Effectively manage an off-site HOPD facility for cardiovascular and pulmonary function testing, handling all aspects of patient care including, scheduling, authorization, and registration.
- Respond to phone inquiries in an appropriate and timely manner.
- Communicates with physician offices, nursing units, radiologists, technical staff, and ordering physicians to facilitate scheduling and/or completion of exams.
- Responds to inquiries from imaging modalities related to scheduling and patient files.
- Set up transportation through StatCall for patients that require transportation to and from their procedure/study.
- Work with the Infusion Room to set up all hydrations for all CT patients that require hydration for their study.
- Perform post procedure follow up calls and/or set up follow up appointments with patients.
- Upload prior studies into PACS that were performed at other facilities for Radiologist comparisons.
- Knowledge in multiple computer systems: Epic, Google and/or Microsoft Office Suite, and Power scribe.
- Locate studies in the archive.
- Monitors dictation system, PACS, and Epic for any outstanding exams requiring interpretation.
- Make daily reminder calls to scheduled patients and give them any additional instructions as needed.
- Checks workspace inventory and replenish supplies as needed.
- Notify supervisor if inventory supplies need replenishment.
- Performs other duties as assigned by department, manager, and/or Director when needed.
- Participate in orientation and training of new employees.
- Participates and completes required E-Learning modules as assigned.
- Print reports, films and/or CD/DVDs based on Outpatient, Emergency Department and Inpatient requests.
- Validate information on reports, films, and CD/DVDs being released to patients are correct.
- Appropriately log release requests and fill in release forms with all required information.
- Validate that information is being released to the appropriate person.
- Ensures final reports, films, CD/DVDs are mailed to appropriate physicians and/or patients in a timely manner.
- Works with PACS Administrators and assists in coordinating daily clerical work schedules (i.e. assignments, lunches, breaks, and coverage in all areas).
- Keeps others informed of pending issues.
- Provide coverage and support for his/her team to maintain service level agreements.
- Monitors report audit and expedites completion and faxing of final report.
- Takes actions required to complete reports on pending log.
- Fax reports to referring physicians offices as requested.
- Effectively performs all necessary processes to obtain pre-authorization for procedures.
- Keeps offices aware of any on-going problems.
- Other duties and/or projects as assigned.
- Adheres to HMH Organizational competencies and standards of behavior.
Qualifications
Education, Knowledge, Skills and Abilities Required:
- High School diploma, general equivalency diploma (GED), and/or GED equivalent programs.
- Ability to enter data into information system via keyboard.
- Light typing skills.
Education, Knowledge, Skills And Abilities Preferred:
- Related experience in a hospital setting.

Compensation
Starting at $22.77 Hourly
