About the Role
As part of our ambitious growth strategy, including acquiring and developing new clients and venues across Europe, this role ensures the Estates Department meets service level agreements while delivering a first-class service to internal and external customers. Supporting live entertainment and events, you will play a key role in enhancing the experience of artists, promoters, and guests at our UK venues. Your responsibilities include managing the Computer Aided Facilities Management System (CAFM), supporting the Estates Hub’s Planned & Reactive Maintenance Service, and assisting the CAFM & Procurement Manager with data analysis and reporting to inform asset management decisions. Building strong relationships with internal and external stakeholders—including venue operations, finance teams, and maintenance staff—you will provide essential administrative support to the European Estates team. This role will be based in our estates office in the AO Arena.
Key Responsibilities:
- Administration of the Estates Helpdesk, logging and scheduling works within the CAFM system.
- Identify/Report any issues with the CAFM system to ensure maximum availability & proactive development to promote a best-in-class solution.
- Communicate with clients to ensure they receive proactive updates on issues raised via the helpdesk.
- Contractor liaison including organising site visits with careful consideration given to venue events, collation of required health & safety, specialist service documentation and certification.
- Maintain compliance & service records.
- Administration of procurement activities including raising and issuing of supplier purchase orders & new supplier onboarding.
- Preparation & Submission of quotations for Clients.
- Track & manage rechargeable works.
- Assist the CAFM & Procurement Manager with Service Level Agreement, Compliance, Asset & Procurement reporting.
Skills and Experience:
- Experience working with a CAFM system and Helpdesk is required.
- Previous roles within an Estates/FM environment desirable.
- Well organised, attention to detail & taking ownership of all high priority jobs raised.
- Excellent communication skills both written and verbal.
- Ability to interact and interface with clients regarding any queries or issues, handling any customer complaints in line with our policies and procedures.
- Knowledge of procurement systems and tendering procedures desirable.
- Experience of producing reports from CAFM systems and client portals desirable.
- Good working knowledge of Microsoft Office 365 applications including Microsoft Teams.
- Ability to work on own initiative and as a part of a team.
