We are seeking an exceptional and highly experienced Executive Assistant to join this close-knit and high-performing team. This pivotal role will support the Managing Director/CEO across both corporate and personal affairs, while also collaborating closely with the COO and CIO. Total flexibility is essential, as the MD operates across multiple time zones (primarily Riyadh, Dubai, and London), and the role occasionally requires responsiveness outside standard 9-5 working hours.

DUTIES TO INCLUDE
- Manage complex calendars, meetings, and appointments across time zones for the MD/CEO and leadership team
- Coordinate meeting agendas, take minutes, and ensure timely follow-up on action items
- Serve as the MD/CEO’s primary point of contact, handling email and communications with professionalism
- Maintain confidential digital and physical records in line with internal standards
- Oversee office expenses, reimbursements, and support financial reporting processes
- Liaise with advisors, partners, household staff, and vendors to ensure smooth personal and corporate operations
- Manage the MD/CEO’s personal calendar, travel logistics, and international itineraries
- Oversee personal finance administration, including invoices and asset updates
- Plan and execute personal, social, and professional events with discretion and efficiency
- Arrange health and wellness appointments in support of personal goals
- Support with research, briefing materials, content creation, and presentation preparation
- Act as a central hub between professional and personal priorities to ensure alignment
- Manage urgent issues with sound judgment and discretion
- Recommend and implement tools and systems to streamline workflows and increase productivity
- Provide basic IT setup and troubleshooting for software, email, and devices
ESSENTIAL CRITERIA
- 7–10 years as an Executive Assistant, ideally in a high-pressure, fast-paced environment
- Supporting senior executives or C-suite leaders
- Demonstrated ability to manage both corporate and personal responsibilities
- A bachelor’s degree in Business Administration, Communications or a related field is preferred
- Exceptional organisational and multitasking abilities with the ability to handle large workloads and competing priorities
- Outstanding communication skills, both written and verbal, Arabic is advantageous but not essential
- Proactive, adaptable, and solutions-oriented
- Absolute discretion and confidentiality in handling sensitive information
- Certifications in executive assistance, office management, or project management (e.g., CAP, PMP) are advantageous
- The ability to work autonomously and build a good working relationship with the Family Office and MD remotely
- Willingness to adjust working hours and work outside of the standard working day
