Join Criterion Hospitality, one of the UK’s most dynamic and fast-growing real estate and lifestyle companies. We're looking for a proactive, organised Lettings Coordinator to support the smooth running of our nationwide residential portfolio of 4,500+ flats.
In this key role, you’ll be the backbone of the lettings team — coordinating tenancy cycles, ensuring compliance, maintaining system accuracy, and supporting the team to drive high occupancy and strong customer outcomes.
Key Responsibilities- Manage the full tenancy lifecycle: from listing coordination and referencing to issuing tenancy agreements, renewals, and move-ins.
- Support viewings logistics and track leads, viewings, and applicant feedback.
- Ensure all documents (ASTs, ID checks, AML, etc.) are complete and compliant before tenancy start.
- Coordinate re-letting activity by updating listings, booking viewings, and chasing outstanding documents.
- Maintain accurate property and tenancy data in the PMS (e.g., Yardi), including unit set-up, status changes, and rent updates.
- Deliver weekly dashboards on lettings pipeline, void status, and referencing progress.
- Assist in updating document templates and tenancy agreements in line with legal changes.
- Monitor and update lettings trackers, pipelines, and performance logs to assist senior team members.
- Liaise with referencing agencies and local authorities as needed.
- Support mobilisation of new schemes by preparing documentation, listings, and file structures.
- Act as a key point of contact for internal teams on tenancy documentation, scheduling, and status updates.
- Communicate clearly and professionally with prospective tenants, helping ensure a smooth application process.
- Support the team in handling tenancy queries, ensuring a high standard of customer care.
- Monitor feedback and escalate issues or opportunities for improvement.
- 2–4 years’ experience in residential lettings, tenancy coordination, or property management.
- Strong organisational and administrative skills with excellent attention to detail.
- Working knowledge of lettings compliance, referencing processes, and tenancy documentation.
- Proficiency in MS Office (especially Excel), and experience using property management systems (Yardi preferred).
- Clear communicator with a calm, helpful, and professional manner.
- Comfortable managing multiple tasks and deadlines in a fast-paced environment.
- A proactive problem-solver and a collaborative team player.
