Role Overview As Executive Assistant to the Director of CAA Stellar, you will provide high-level administrative support to ensure the efficient management of the Director’s schedule. You will assist in arranging events, travel, and managing expenses through effective diary management and event coordination. Key Tasks and Responsibilities Manage complex diaries across multiple time zones. Proactively plan and adapt to an ever-changing schedule with last-minute adjustments. Book meetings and conference calls, including reminders and preparation. Prepare clear travel options and arrangements, including all expenses. Support the Director with administrative tasks as needed. Liaise with internal and external stakeholders, such as CAA employees, clients, and executives. Prepare presentations as directed. Take notes during meetings and distribute minutes. Perform any ad-hoc duties as requested by management. Personal Specification Strong organizational and time management skills with excellent attention to detail. Experience supporting C-Suite level professionals. Professional demeanor with a positive, solutions-oriented attitude. Ability to prioritize and multitask in a busy environment. Proficient in Microsoft Office (Word, PowerPoint, Excel). Ability to thrive in a fast-paced environment. Ability to work independently and as part of a team. Excellent verbal and written communication skills. Strong confidentiality and work ethic.
