The predicted salary is between 36000 - 60000 £ per year.

To provide administrative support for the CEO and directors with day-to-day business operations. To organise extensive business travel arrangements for all employees worldwide and for clients visiting the UK.

Responsibilities

1) Manage daily office operations

  • Ensure effective communication and collaboration within the team, facilitating a supportive and efficient working environment.
  • Organise and plan company events, team-building activities, and other staff engagement initiatives.
  • Support with ad-hoc duties as required to ensure the smooth operation of the office.
  • Carry out other administrative tasks as and when required
  • Arrange for documents to be notarised and legalised, liaising with the local notary and Chamber of Commerce.
  • Monitor and maintain sufficient stocks of refreshments for meeting rooms.
  • Arrange for documents to be couriered and track where necessary

2) Co-ordinate International Travel Arrangements

  • Organise extensive travel arrangements liaising with the Griffon Contact, Client, Relevant Travel organisations, Hover travel, hotels, local caterers, restaurants & Accounts.
  • Produce letters of invitation for visitors requiring UK visas/ETA.
  • Produce or assist with production of visit programmes.
  • Arrange for interpreter as and when required.
  • Set up accounts with local companies eg caterers, taxis etc.

3) Executive Assistant to director

  • Provide administrative support to the CEO
  • Set deadlines for production of Board report, chase follow up actions by specific deadlines and ensure that the report is circulated on time.
  • Complete Expense Claims for CEO and complete Hospitality/Gifts register for any gifts/hospitality given or received.
