We’re recruiting for a Team Assistant to join us. You will be reporting to the PA of the Chief Investment Officer & the Head of AA. Your role is to assist the senior people in the 70 people Asset allocation team, providing administration and diary support as well as organising team events and off sites.
What you'll be doing:
- Administrative support in day-to-day business management, including organising regular team meetings, social events, team events, internal training, off sites, onboarding new joiners, managing aspects of event management, venue sourcing which may include travel, catering, room administration, and AV facilities.
- Assistant to Senior team members for diary management, travel costs, desk and room bookings.
- Proactively managing diaries to optimise use of a Senior PM’s / managers’ time, identifying and managing clashes with attention to detail regarding set up of appointments as well as allowing for preparation of time being allocated.
- Organise Travel for team members, working alongside the Travel Manager and/or travel agency in providing supporting travel documents and visas as may be necessary.
- Successfully manage and welcome external visitors by arranging refreshments, AV support, and providing associated materials well in advance.
- You will be the “go to” person within the department, helping new starters to find their way, updating distribution lists via MyTech, quarterly checks on use of lockers, updating master documentation, ordering business cards, coordinating and booking internal training courses, and printing presentations.
- Become pivotal in building and creating an inclusive working environment for the wider team and colleagues.
- Continue and improve team initiatives to enhance engagement.
Who we're looking for:
- Familiar with the use of Microsoft package that supports administrative activities: Outlook, Teams, Excel, Word, PowerPoint and able to acquire knowledge of updated versions as they launch.
- Previous experience of working in an event management, project management, secretarial, administrative, or other support role desirable.
- Familiar with event organisation, travel, catering, meeting room administration, and AV facilities.
- Experience providing core support for a wider team and able to multitask effectively.
- Can build good relationships within the business and developing excellent working relationships with PAs and business stakeholders.
- Able to deal with highly confidential issues in a professional manner.
- Self-motivated with a record of being able to work independently without close supervision, dealing with any situation as they arise.
