We are looking for an efficient and experienced administrator to support the South Hams Mental Health Team at Leatside Surgery. We are seeking an enthusiastic and experienced administrator with excellent IT, communication, organisational and management skills. Working in partnership with the Clinical Team Manager and clinical colleagues, we welcome applications from individuals who can demonstrate a commitment to delivering high quality administration and leadership skills, with excellent IT, communication and office management in an efficient and timely manner.

This is a part time role, working 22.5 hours a week. We are flexible around the days and times worked; however, we do require the successful candidate to work Mondays and preferably Fridays. Enquiries are welcome.

Main duties of the job:

  • Lead and manage the administrative team, ensuring efficient and effective work flow responding to demand.
  • Support the Team Managers in daily administrative tasks and strategic planning.
  • Advocate for and lead the team, fostering a collaborative and supportive work environment.
  • Ensure all administrative processes meet the high standards and values of the trust.
  • Utilise IT and office systems, including System 1 and Microsoft Office - MS Excel, Word, Teams and Outlook are essential.
  • Maintain accurate records and ensure data integrity.
  • Provide excellent customer service and support to patients and staff.
  • Develop and implement office management procedures to improve efficiency.

Person Specification:

Knowledge and Skills: Able to demonstrate the values of the Trust.

Qualifications:

  • RSA 3 Word Processing or equivalent level of experience in practice.
  • NVQ3 in administration or equivalent level administrative knowledge and experience.
  • GCSE English and maths (or equivalent).
  • Evidence of continuing professional and personal development.
  • ECDL (European Computer Driving Licence).
  • Shorthand, speed writing or audio typing.

Experience:

  • Proven line management within an administration environment.
  • Demonstrable experience of MS Office utilising MS Word, MS Excel, MS Outlook, MS Teams.
  • Accurate typing at 50wpm.
  • Experience of dealing with confidential and complex information.
  • Demonstrate good numeracy and literacy skills; attention to detail.
  • Ability to take accurate formal and informal minutes.
  • Excellent organisational skills and ability to prioritise workload and adapt to change when required.
  • Confident and professional telephone manner.
  • Ability to adhere to policies and procedures.
  • Knowledge of healthcare, particularly an interest in the Mental Health and Learning Disability Sector.
  • Ability to capture and create SOPs.
  • Experience of System One.
  • Safeguarding minute taking.
