We are seeking a highly organized and detail-oriented Payroll Specialist to join our team. The ideal candidate will be responsible for processing and managing employee payroll, ensuring compliance with federal, state, and local regulations, and providing exceptional service to our employees. As a Payroll Specialist, you will play a crucial role in maintaining accurate payroll records and assisting with various payroll-related tasks.
Responsibilities
- Process and administer bi-weekly payroll for all employees.
- Enforce timely company timesheet submission from employees.
- Manage submission of payroll data to third party payroll processor, and ensure payroll is processed accurately and on time.
- Maintain accurate records of employee records and payroll transactions, including pay rates, taxes, deductions, and other withholdings.
- Review timesheets and determine accuracy of project hours, overhead hours, overtime, holiday and personal time off, to ensure proper calculations and payroll general ledger coding accuracy.
- Ensure compliance with local, state, and federal labor laws and tax regulations.
- Perform payroll reconciliations and ensure payroll costs are properly allocated to projects and overhead categories.
- Manage payroll inquiries from employees, providing timely and accurate responses.
- Assist in the preparation of payroll reports for management and audits.
- Support year-end payroll activities and reconciliations.
- Verify tax filings and payments.
- Process various employee bonus payouts and company shareholder payments.
- Handle confidential employee information with discretion and integrity.
- Stay updated on changes in payroll-related laws and regulations to ensure compliance.
- Coordinate with People and Culture and other departments to ensure accurate and up-to-date employee data and benefits enrollment.
Qualifications
- Bachelor’s degree in Accounting, Finance, Business Administration, or a related field (preferred but not required).
- Proven experience as a Payroll Specialist or similar role (3+ years preferred).
- Strong knowledge of payroll systems and relevant software.
- Highly proficient in Excel and ability to navigate advanced spreadsheet features.
- Understanding of federal, state, and local payroll regulations and tax laws.
- Excellent attention to detail and strong problem-solving skills.
- Ability to handle sensitive and confidential information.
- Exceptional organizational and time-management skills.
- Strong communication and interpersonal skills.
- Ability to work independently and in a team environment.
- Familiarity with labor laws in multiple states.
