As the People & Office Assistant at Piglet in Bed, you will play a critical role in ensuring the smooth day-to-day operations of the office and people related queries. You will be the central figure in maintaining the office environment, managing supplies, and coordinating with both internal teams and external suppliers. As a proactive problem-solver, you will be trusted to manage the office budget, assist with HR tasks, and implement efficient processes to keep operations running smoothly.
What you’ll be getting up to:
- Office Management
- Manage daily operations of the London office, including safety checks and communication with the landlord/service provider.
- Manage purchasing of office supplies, ensuring the office is stocked when necessary.
- Manage visitors and in-house meeting room bookings.
- Ensure the cleanliness, organisation, and presentation of the office space.
- Take deliveries and ensure storage space is kept tidy and organised.
- Administrative Support
- Provide administrative support to the management team, including scheduling meetings, taking minutes, and preparing documents.
- Organise travel and hotel stays for the senior management team.
- Manage office update communications, including incoming/outgoing mail and email communications.
- Develop and maintain filing systems (both digital and physical).
- Culture and Events
- Manage the cultural aspects of Piglet in Bed, including meals, drinks, outings, meetings, and team-building activities.
- Ordering and overseeing gifting to colleagues.
- Ensuring employee birthdays/life events are celebrated.
- HR Administrative Support
- Assist with recruiting and onboarding new employees, including workspace setup, orientation, coordination of office keys and access.
- Absence and holiday management.
- Budgeting and Procurement
- Manage office budget, including tracking expenses.
- Negotiate with vendors and suppliers to secure the best deals on office-related purchases.
- Ensure cost-effective procurement of office supplies and equipment.
- Health and Safety
- Oversee the office’s health and safety protocols, ensuring compliance with local regulations.
- Maintain first aid supplies and manage office safety drills and protocols.
- Be the point of contact for health and safety concerns within Piglet in Bed, escalating these as appropriate to the Head of People & Talent.
- Keep on top of essential training requirements for employees and book in training as appropriate.

- Ability to multitask and manage various office operations simultaneously while maintaining a high level of organisation.
- Excellent verbal and written communication skills, with the ability to liaise effectively with all levels of employees.
- Strong attention to detail in managing schedules, office supplies, budgets, and administrative processes.
- Proactive in identifying operational challenges and finding efficient solutions, whether it’s related to office logistics or employee concerns.
- Proficiency in office software (e.g., Microsoft Office) and familiarity with office equipment management (e.g., printers, phones).
- Self-motivated with the ability to lead tasks and projects, making independent decisions when necessary.
- Ability to foster and maintain a vibrant office culture that aligns with the company’s values, including event management and team-building activities.
- Ability to handle sensitive information, especially in HR-related tasks, with complete confidentiality and professionalism.
We’re open to this role operating with flexible working hours/part time hours, i.e., working shorter days across four or five weekdays. Please provide your preferred working pattern on application. This role will be based in our office in Vauxhall, South London for 4-5 days a week, with the possibility to work 1 day from home. The salary for this role is up to £29,000 FTE.
