Are you an organised, detail-oriented individual looking for an exciting opportunity to support a dynamic Chief Executive? Our client, a prestigious organisation in the higher education sector, is seeking a proactive and efficient PA to join their team!
Main Purpose of the Role:
As the PA to the Chief Executive, you will provide confidential and comprehensive administrative support, ensuring the smooth running of operations at the executive level. This is a fantastic chance to showcase your skills and make a significant impact!
Key Responsibilities:
- Manage all communications and correspondence, ensuring timely responses and task distribution.
- Maintain the Chief Executive's diary and schedule appointments for optimal time management.
- Prepare weekly itineraries and manage monthly expense submissions.
- Handle requests for scientific papers via Research Gate effectively.
- Maintain accurate contact details and manage the RHS Reception invitation spreadsheet.
- Organise travel and accommodation arrangements for the Chief Executive.
- Coordinate internal meetings, prepare agendas, take minutes, and maintain action trackers.
- Design and uphold efficient administrative systems, ensuring a robust audit trail.
- Support the Honorary Associate and Honorary Fellow schemes, and provide secretariat for the Hutton Tercentenary campaign.
- Assist the Governing Board with administrative tasks, including meeting attendance and minute-taking.

- Significant Experience: Proven track record in providing PA/administration support to senior management.
- Project Administration Skills: Experience in managing documents and projects efficiently.
- Deadline-Driven: A demonstrated ability to meet tight deadlines and work under pressure.
- Higher Education Background: Experience in a higher education or research organisation is desirable.
- Database Management Knowledge: Familiarity with database management systems is an advantage.
- Essential Skills: Excellent IT skills to navigate various software and platforms.
- Outstanding communication skills, both oral and written, to engage effectively with stakeholders.
- Strong planning, prioritisation, and organisational abilities to keep everything on track.
