As an Administrative Assistant you will be responsible for providing day-to-day administrative support to their respective team(s) including coordinating calendars, meetings, expenses, events, presentations, travel, correspondence and departmental initiatives.

We are currently recruiting for a full-time Administrative Assistant to join the Funds & Secondaries team in Private Equity. The Administrative Assistant will report to a Principal Investments and will be responsible for providing day-to-day administrative support to senior and junior members of the Funds & Secondaries team. Some of the main duties include managing travel, calendars, meetings, expenses, events, presentations, correspondence and other departmental initiatives.

Accountabilities:

  • Proactively coordinates multiple calendars including scheduling internal and external meetings, room bookings and calls and works with global CPP Investments departments/offices to coordinate logistics.
  • Assist with meeting room bookings for internal and external meetings including guest registration and catering orders as needed.
  • Book and manage complex global travel arrangements, itineraries or other duties related to support professionals who travel globally.
  • Ensures team members are prepared for meetings and carry forward action items.
  • Performs expense reporting and coordinates approval and processing of invoices.
  • Assists in the creation of high quality on-brand communications, reports and presentations.
  • Provides support and assists with departmental and team offsites and social events.
  • Coordinates and books travel arrangements including flights, hotels and visa requirements as needed.
  • Handles highly confidential material/matters relating to the department and organization with utmost discretion.
  • Coordinates and performs critical internal processes for the team.
  • Works closely with other Executive Assistants and teams to increase efficiency and provide overall departmental support.

Qualifications:

  • High school diploma required; college diploma or bachelor's degree preferred.
  • Relevant administrative support experience in a fast-paced professional environment.
  • Prior experience in the financial services or related industry is an asset.
  • Requires strong communication skills both written and verbal in English.
  • Experience with complex calendar coordination, booking high-profile meetings and events, scheduling travel and performing the expense reimbursement process.
  • Working knowledge of MS Office (Word, Excel, PowerPoint, Outlook Calendar) and comfort and interest in learning new applications.
  • Able and willing to work flexible hours as required.
  • Proven attention to accuracy and detail; highly organized with the ability to prioritize and multitask.
  • Exceptional (written and verbal) communication skills and interpersonal skills.
  • Ability to work in a high performing culture under pressure and with time-sensitive deadlines.
  • Personable; easily interacts with all types of personalities and at all levels with a high degree of professionalism.
  • Proven ability to work independently as well as to perform effectively in a team-oriented and open-concept environment.
  • Interest in the investment industry is considered an asset.
