The Opportunity

We are seeking a highly organised and detail-oriented individual to join our team as EA to the Executive Office. In this role, the EA will provide comprehensive administrative support to our Chief Financial Officer (CFO) and ad-hoc support to members of the wider Finance Leadership Team (FLT). This role requires exceptional organisational, communication, and problem-solving skills, as well as a deep understanding of the wider organisational and functional events and meeting cadences. The EA will be a key partner to the CFO and ensure that their time is effectively utilised, and priorities are executed efficiently and professionally. This EA to the Executive Office role offers a unique opportunity to contribute to the success of our organisation by providing crucial support. The post holder should be a dynamic and organised professional with a passion for assisting leaders in achieving their goals.

Role Responsibility

So, what will you be doing? This role has a broad and varied remit and the successful candidate will have responsibility for duties including:

  • Calendar Management: Provide support for the CFO and UK based members of the FLT (6-7 people). Prevent and speedily resolve calendar conflicts, dealing with current issues and anticipating future conflicts. Independently reschedule events being mindful of time zones and/or present practical alternatives in a timely manner and demonstrate clear understanding of the CFO's priorities. Support the CFO in adhering to cadence of external appointments (investors, bankers, conferences etc).
  • Information Management: Ensure that the CFO is well prepared for meetings (pre-read on the invite, timely reminders, admin arrangements etc.). Support the preparation of reports and presentations and coordinate inputs where necessary from multiple sources. Organise and maintain files, documentation and records, managing confidential information with discretion. Support email management for the CFO (management of emails/ensuring contacts, Teams channels and are fully updated and maintained).
  • Travel and Expenses: Plan and execute complex domestic and international travel arrangements, including management of itineraries, logistics, ensuring timely and cost-effective booking through authorised travel partners. Support CFO with domestic commuting arrangements where required. Manage expenses on behalf of CFO, proactively asking for and expensing receipts and overseeing the timely processing of claims. Be able to obtain a sound understanding of Dechra's Travel & Entertainment (T&E) policy, ensuring timely and accurate expenses of claims, proactively asking for and expensing receipts, highlighting exceptions and corrective actions.
  • Event Management: Manage logistics for FLT meetings and Global Finance conferences/webinars and where required attend in person, whether this be in the UK or overseas. Work with IT colleagues to minimise technical related issues for these events.

The Candidate

  • Experience: Previous experience working in a PA/EA capacity, supporting members of a Senior/Executive leadership team (such as CFO, CPO, CEO, etc), preferably in a corporate, global organisation. Previous experience working with technology platforms such as MS Office/Teams, SAP, Concur, Power BI etc. Experience working with highly sensitive/confidential data.
  • Skills: Ability to anticipate needs and take initiative to problem solve and adapt to changing needs. Excellent prioritisation, organisations and time management skills. Excellent interpersonal and customer service skills, with the ability to communicate effectively with all levels, establishing and maintaining effective working relationships. Ability to work at pace, whilst maintaining high levels of accuracy and integrity.

Additional Information: This role is based in our Northwich office three days per week on a hybrid basis.
