We are looking for a highly organised individual to provide support for all aspects of an onboarding process for new starters and TUPE transferred colleagues, as required by the BS7858 standard, and the Company’s internal onboarding policies and processes across the business. To ensure all key elements of the role are delivered in a timely, compliant and professional manner. You will be working 40 hours per week from Monday to Friday 08:00-17:00.

What you will need:

  • Excellent communication skills and a strong customer focus.
  • Previous administrative and compliance experience in a similar role/industry
  • Confidence and ability to establish and maintain good and effective working relationships
  • Ability to work to deadlines, multitasking and working under pressure.
  • Excellent IT Skills including Microsoft Software Packages (e.g. Excel)
  • Able to achieve vetting to BS7858 Standards

What are you going to do:

  • Undertake, coordinate and facilitate the local SIA licence Top-up upskilling training for site-based colleagues, liaise with the training provider, line managers, and employees, keep an accurate SIA record on the HR/Payroll system and the Business SIA Watchlist website
  • Conduct SIA licence renewals for the site-based colleagues and update their records and SIA watchlist
  • Assist the operational team with administrative tasks as and when required, e.g., raising POs and assisting with letters and LSA certificates
  • Ensure all new starters vetting to BS7858 is completed by an outsource screening company within required by the standard 12 weeks (or 16 weeks, once the appropriate vetting period extension process is followed) period of time and any failures are communicated to the employee’s line manager
  • Ensure appropriate letters are sent to employees who may have failed the vetting to BS7858 standards
  • Ensure appropriate pre-employment checks are conducted as required by law and internal procedures, e.g. LRTW, SIA licence, and credit checks
  • Ensure the Company’s onboarding process follows the company’s internal procedures, including issuing offer and welcome letters and maintaining employees' personal files
  • Conduct additional employee checks, like DBS, EDBS, and SC, maintain the employee's record, and conduct renewals as per the Client's contractual agreement
  • Accurately maintain data and personnel records on the Company’s relevant systems (HR/Payroll/CMS etc.) in a confidential and professional manner, protecting the rights of the individual
  • Take minutes/notes as and when required
  • Perform ad hoc administrative duties as directed
