As Operations Manager, you will play a critical role in ensuring the smooth functioning of the operations department. Managing a small team, you will take ownership of key operational processes, particularly around client data management and reporting cycles. This role requires high attention to detail, proactivity, and the ability to coordinate across teams to uphold high service standards for retail clients.
Key Responsibilities- Client Operations & Data Management
- Oversee the onboarding and maintenance of client data across relevant platforms (e.g., CRM, portfolio systems, reporting tools).
- Ensure completeness and accuracy of client information to support portfolio management and regulatory compliance.
- Work with Retail Clients to gather and input investment preferences, mandates, and risk profiles into internal systems.
- Client Reporting
- Lead the monthly and quarterly reporting cycles, ensuring timely delivery of high-quality reports to clients.
- Coordinate data extraction, formatting, quality checks, and secure distribution of performance and valuation reports.
- Identify areas to automate or improve reporting efficiency using existing systems or recommending new tools.
- Team Management
- Manage and mentor two Operations Executives; delegate responsibilities effectively and monitor performance.
- Foster a culture of accountability, continuous improvement, and client-first thinking within the operations team.
- Support team training and development in line with evolving operational processes and compliance requirements.
- Internal Collaboration
- Collaborate with Client Advisors, Portfolio Managers, and Compliance to ensure operations align with client mandates and regulatory standards.
- Support broader business projects as required – e.g., technology upgrades, vendor transitions, or process re-engineering.
- Proven experience (3–5+ years) in investment management or wealth management operations.
- Strong experience in client reporting processes and systems.
- Excellent working knowledge of portfolio management systems (e.g., Avaloq, Addepar, Figaro, or similar).
- Familiarity with FCA-regulated client operations and documentation processes.
- Strong Microsoft Excel and data-handling skills; experience automating operational tasks a plus.
- Strong interpersonal and team leadership skills.
