The Mary Lyon Centre at MRC Harwell (MLC) is located in an expanding science and innovation campus in Oxfordshire and is an internationally renowned centre at the forefront of genetics research. As the hub of the new National Mouse Genetics Network, the specialist facilities and capabilities of the MLC support a number of research groups across the UK to accelerate our understanding of human diseases, such as cancer, developmental disorders and neurodegeneration.

Overall Purpose: We have an exciting opportunity at the Mary Lyon Centre at MRC Harwell (MLC) to join our Operations Team in the role of Events and Marketing Manager. We are looking for a motivated, hands-on, and positive individual with a can-do attitude. The Advance training centre has been purpose-built to deliver world-class practical and theoretical training courses. Containing two large meeting spaces, three breakout rooms, receptions and two training laboratories, this facility not only hosts courses taught by the Mary Lyon Centre but is available for hire to external users and also hosts high impact networking meetings. The typical footfall of the training centre is up to 100 people per week. The post-holder will manage the day to day running of the Advance training centre to support the delivery of training courses, symposiums, networking and ensuring all available spaces are fully utilised.

Main Duties/Key Responsibilities:

  • To project manage event services bookings: event planning, on the day support, delegate registration, health & safety, catering and transport.
  • Day to day management of the Advance facility reporting any defects to ensure a quick resolution and minimising the impact on any events planned.
  • Room planning and movement of equipment and furniture to meet visitors’ requirements and best use of available space.
  • Ensuring GDPR compliance in all correspondence.
  • Line management and support for one Advance administrator and train them in events management.
  • Coordinate and help develop brochures/marketing material to publicise existing courses and increase stakeholder engagement.
  • Use data analytics and customer feedback to inform future marketing strategies and event planning decisions.
  • Report on the financial accounts, raise orders, invoices and with managers, ensure budgetary requirements are met.
  • Host events, ensuring visitors requirements are met, feedback and requests are dealt with and ideas for improvement are followed up.

Working Relationships: Both internal and external users of Advance resources.

Person Specification

Education/Qualifications/Training Required:

  • Essential: A background in events management and marketing.
  • Desirable: BTEC (HNC/D) or equivalent in events management; BTEC (HNC/D) or equivalent in marketing.

Previous Work Experience Required:

  • Essential: Has worked within a customer focused environment; Hands on approach in an event management environment delivering on stakeholder requirements and dealing with request and changes efficiently; Line management experience of small team; Experience at raising orders, invoices and working with a finance focus; Organisation of the daily requirements of a building, reporting faults, providing information on grounds requirements, and looking for improvements in recycling and sustainability.
  • Desirable: Dealing with scientific academic requests.

Knowledge and Experience:

  • Essential: Events management and marketing experience.

Personal skills/Behaviours/Qualities:

  • Essential: High level of project management and organisational skills; Highly developed communication and interpersonal skills; High attention to detail on both major and minor items; Networking skills and focus on maintaining excellent working relationships with all stakeholders; Creative and flexible, with the ability to think outside of the box when changes are required; Calm in all circumstances with an ability to maintain a service level function; Passion for working in and events and marketing environment.
