My client, a leading M&E company, is currently recruiting for an experienced Site Secretary/Project Administrator to join their team based in Leicester. The chosen candidate will play a key role in supporting the successful delivery of a large-scale new build construction project. This position requires a highly organized and proactive individual who can coordinate between internal teams, subcontractors, and stakeholders, ensuring smooth communication, accurate documentation, and efficient project workflows.
Key Responsibilities
- General administration on site
- Support the Project Director and Regional Commercial Manager in the day-to-day coordination of all project activities
- Track and manage project documentation, including drawings, specifications, submittals, RFIs, commercial schedules, and meeting minutes
- Maintain and update project schedules, ensuring key milestones and deadlines are monitored and communicated
- Coordinate with suppliers, subcontractors, and consultants to ensure timely delivery of reports within the wider project team
- Assist in preparing project reports, progress updates, and cost tracking documents
- Organize and participate in project meetings, preparing agendas and capturing accurate minutes and action items
- Ensure compliance with health & safety regulations, company policies, and project-specific procedures. Facilitate clear communication between site teams, office support, and client representatives
Qualifications & Experience
- Proven experience as a Project Administrator, preferably within the construction or engineering industry
- Familiarity with MEP (Mechanical, Electrical, Plumbing) coordination is highly desirable
- Strong understanding of construction project lifecycles and related documentation
- Excellent organizational and time management skills
- Proficiency in Microsoft Office Suite, especially Excel, Word, and Project
- Experience with project management software
