Location: Central Scotland (occasional overnight stays required)

The Space Planning & Move Co-Ordinator role includes but is not limited to the following tasks:

  • Delivering space planning rearrangements.
  • Planning and implementing move projects, tasks, and move layout designs.
  • Managing day-to-day small moves, office reconfigurations, and new furniture requests.
  • Generating tasks and requests for maintenance or services related to moves.

AutoCAD experience is essential.

Qualifications / Experience:

  • The core skills required include space planning, stakeholder engagement, contractor management, move management, and knowledge of building regulations related to office design.
  • Interior Design or architectural skills are advantageous but not essential.

Operational:

  • Build strong relationships with stakeholders and project managers to understand upcoming works.
  • Schedule works to optimize value for the client and customer.
  • Keep the Moves tracker document updated.
  • Ensure PO’s are raised and tracked before work begins.
  • Provide regular updates on workload and pipeline works.
  • Monitor workloads and report on resource utilization.
  • Manage processes for MAC, maintaining all within a live system.
  • Liaise with Delivery Managers and vendors.
  • Ensure all project completion documentation is in place and filed.
  • Attend weekly coordination and scheduling meetings and present updates.
  • Approve e-permits, access permits, and contractor RAMS for small works.

Managing Risks/Opportunities and Issues:

  • Analyze significant risks and recommend or initiate corrective actions.
  • Ensure all works have financial approval before scheduling.
  • Track direct and ISS costs.

Client Relationships:

  • Maintain daily contact with client representatives to review operational matters.
  • Respond promptly to operational issues.
  • Provide updates and management info on financial matters.
  • Address safety issues proactively.
  • Conduct operations respecting environmental standards and regulations.

Quality:

  • Ensure high-quality standards in all daily activities to meet ISS and external quality verification requirements.

Experiences:

  • Experience with CAD AutoCAD software.
  • Experience delivering space planning rearrangements.
  • Understanding of Building Regulations.
  • Experience managing financial tracking and operations.
  • Ability to estimate project costs and present cost documents.
  • Experience managing and coordinating move projects.
  • Proficiency in Microsoft Office Suite, including Teams.
  • Strong time management skills for stakeholder communication.
