This position provides administrative support for the department chair and functions as the office manager for the unit. It serves as the unit's budget manager and supervisor for administrative support staff and student workers.

Essential Job Duties:

  • Manages and reconciles department budget from multiple budget pools.
  • Builds the department schedule each term.
  • Oversees all hiring responsibilities for the department in collaboration with the HR Specialist.
  • Serves as liaison for all requests with the Dean's office.
  • Provides select grant (internal and external) support for faculty.
  • Supervises work study students.
  • Supports faculty on external and internal grants with purchasing, travel, recruitment, and budget reports.

Required Minimum Qualifications:

  • Bachelor's degree in business administration or a related discipline; or an equivalent combination of training and experience.

University Preferred Qualifications:

  • Four-year degree in a related business function and two or more years of experience in accounts reconciliation, business processing, office management, or human resources; or an equivalent combination of training and experience.

The Business Services Coordinator/Office Manager for Educational Leadership is responsible for the administrative management of personnel, budgets, grant administration, and the supervision of one full-time admin assistant and may supervise student assistants. This position is directly responsible to the Chair of the department. Requires performance of a variety of administrative, secretarial, and office support duties. Position requires knowledge of the office or work unit policies and procedures in order to communicate information involving programs, functions, and services.

  • Course scheduling.
  • Administrative hires for part-time faculty.
  • Hiring graduate assistants.
  • Oversight of student files.

Departmental Preferred Experience, Skills, Training/Education:

  • Bachelor's degree in a related field and four years of progressive office experience including purchasing, reconciling funds, and budgeting actions preferred.
  • Previous experience working in a higher education environment in a similar department; at least 2 years preferred.
  • Previous experience scheduling classrooms and support of professors a plus.
  • Experience with Excel; intermediate proficiency level needed with advanced level preferred.
  • Experience with Banner, 49er Mart, ePAF, aGA, Malibu, Concur, PCard, Google Suite and advanced skills in Microsoft Suite applications.
  • Supervisory experience.
  • General knowledge of accounting principles.
  • Strong financial report development and presentation skills.
  • High level of organizational skills.
  • Detail-oriented and ability to multi-task.
  • Ability to be resourceful, research and work independently while also being a team player.
  • Ability to communicate effectively both verbally and via written correspondence with all University personnel and partners.
