Reporting to the Editorial Support Manager, the Editorial Support Coordinator works as part of a small team supporting the editorial and resourcing needs of the business. The post holder will work across several departments, including Newsgathering, News, Sport, Creative and Technology. They will collaborate closely with Editors and Directors to manage staffing, leave, sickness reporting and deployments. This is a key role in maintaining high editorial and production standards, both in the field and across our newsrooms and studios.
Responsibilities
- Ensure accurate and forward-planned rotas, including recording shifts, leave and sickness, to support a 24-hour operation.
- Accurately record and manage staff leave and sickness.
- Monitor departmental spending, including overtime and special payments, in collaboration with the Head of Editorial Support.
- Support deployment planning with Producers and Editors, including arranging travel, kit, risk assessments and processing expenses.
- Maintain and improve administrative systems and processes to ensure accurate record-keeping, financial tracking and smooth team operations.
- Raise purchase orders and liaise with Finance and Procurement to negotiate rates for freelance and third-party resources as needed.
- Manage vendor relationships, including overseeing invoice workflows and ensuring timely payment.
- Draft contracts for freelance resources where required.
- Perform other administrative tasks as required.
Requirements
- Experience using scheduling systems (preferably RotaCloud) and financial tools such as NetSuite.
- Ability to remain organised and responsive in a fast-paced, deadline-driven environment.
- Demonstrable financial acumen.
- Excellent interpersonal and communication skills, with the ability to build relationships across departments and with external stakeholders.
- Understanding of data protection regulations and compliance.
- Good working knowledge of TV news production workflows.
- High proficiency in Microsoft Office (Excel, Word, Outlook).
- Strong understanding of Volant’s editorial vision and a commitment to the company’s business objectives.
