Overview
A busy professional and his team are seeking a personal assistant/lifestyle manager. You will be reporting to the Chairman and Chief of Staff. The role is located in the West Village, NYC, but can predominantly work remote (or be on call) for the latter half of the working day. The core hours for the role will be Monday-Friday from 1pm-9pm, but with flexibility on hours depending on the time zone of the Chairman, with some awareness of phone on weekends. Hours from around 6pm onward are considered “on call,” meaning being ready to reactively reply to the Chairman and his needs. Saturdays and Sundays will also be on call with swift response for small requests like reservations.
Responsibilities
- Offer comprehensive assistance to CoS and other staff members during hours that overlap – e.g., 1pm – 6pm.
- Assist with personal errands, appointments, and trips for the Principal and family.
- Liaise with household staff for restock needs, placing orders/shopping as needed.
- Assist with property management needs and the creation and management of all home and personal data, vendor, and personal accounts.
- Support project management and support delivery execution as required.
- Maintain family records, preferences, and conduct research for personal projects.
- Answer and screen incoming phone calls, texts, and emails.
Lifestyle Support
- Research cultural events, new hotels, bars, restaurants, and other “cool” things in the city and places the Chairman travels to.
- Coordinate with concierge services to ensure nothing is missed.
Evening/Weekend Hours Support
This is considered “on call,” requiring access to the internet and the ability to make calls without necessarily working in an office or from home. Responsibilities include:
- Responding to texts and calls from the Chairman.
- Booking last-minute reservations and updating the calendar with travel details.
- Working autonomously during these hours without reliance on the CoS.
Qualifications
- Ability to multitask and prioritize effectively.
- Friendly, positive personality, able to maintain high spirits and contact with many people.
- Ability to work independently and remain calm under pressure.
- Interest and knowledge of restaurants, hotels, bars, and cultural venues.
- Understanding of aesthetic preferences of UHWIs.
Requirements
- Legally authorized to work in the United States.
- Proven experience as a Personal Assistant.
- Tech-savvy with knowledge of office management systems.
- Proficiency in MS Office and English.
- Willingness to undergo background and credit checks.
- Excellent communication, discretion, and confidentiality.
- Outstanding organizational and research skills.
Salary and Benefits
Salary: Approximately $120,000, DOE
