Posting Details Posting Information Posting Number temp hourly1011P Quick Link for Internal Postings https://jobs.wcu.edu/postings/20562 Classification Title Working Title Guest Services Assistant – Summer (T00919) Department Bardo Arts Center Salary Range starting at $9.25/hour Posting Information SUMMARY This position works on site at Bardo Arts Center with flexibility to assist with Box Office, Fine Art Museum Gift Shop ( FAM Shop), and/or administrative duties as needed for Bardo Arts Center. This position will greet customers of all ages and backgrounds in a non-discriminatory educational environment, while working with customers in person and over the phone to assist in selling tickets to performances in the BAC Performance Hall, University Auditorium and Niggli Studio theater. This position will also be responsible for all Fine Art Museum Gift Shop ( FAM Shop) operations, including but not limited to; performing sales, providing customer assistance, processing merchandise, art handling, and clerical duties required by and associated with the FAM Shop (which features work from students, faculty, staff, alumni and featured artists.) Guest Services Assistants report to BAC\’s Audience Services Manager. EXPECTATIONS Serve as a welcoming, courteous, and professional presence for visitors and customers Be knowledgeable of all relevant policies and procedures; Ask when you don\’t know Commit to the full term of the employee contract (one semester) Follow opening and closing procedures outlined by supervisor Arrive to your shift on-time and prepared to work Maintain confidentiality of all matters regarding sensitive information Make correct sales transactions Encourage sales by following sales script Maintain accurate inventory records of merchandise Collaborate with other student workers in positions throughout Bardo Arts Center to foster a well-rounded, knowledgeable, and experience informed team HOURS Maintain a schedule of 10 – 25 hours per week, as assigned. Submit bi-weekly time sheets on time Daily Available Shift Hours**: Tue: 10 AM – 4 PM Wed: 10 AM – 4 PM Thur. 10 AM – 7 PM Fri. 10 AM – 4 PM **Adjustment of hours involving evening and/or weekend work will be required. ADMINISTRATIVE DUTIES Read and acknowledge the BAC Team Handbook Sign confidentiality statement and take PCI compliance training (payment card industry) Refer to Shift Notebooks daily for updates and urgent communications Refill office supplies (pens, note pads, rubber bands, envelopes, etc) Update and post phone numbers (staff, campus police, etc) in Box Office/ FAM Shop Identify space for rack cards, business cards, and information to be distributed to visitors by staff Label the staff mailboxes for all hourly summer and fall employees Act as an intermediary for supervisor with internal and external contacts to resolve problems and respond to policy or procedural questions Ensure non box office/ FAM shop related calls and messages are passed along to the appropriate parties Keep track of all sales, inventory changes, customer questions and vendor inquiries Organize FAM Shop/Box Office for optimal efficiency and provide basic cleaning of displays Stock bags and organize back-stock Request supplies as needed, inform Audience Services Manager of any sales issues or inventory needs Assist Audience Services Manager with coordination of all Box Office/ FAM Shop activities including cash handling, accounts management, and computer systems management Perform visitor services duties when present at the museum front desk such as answering questions about museum exhibitions, museum policies and facility features (bathroom, parking, etc.) Answer BAC phones using the script provided and become knowledgeable of phone messaging and transfer features Monitor museum surveillance and notify staff as to any out of the ordinary activities Conduct hourly inspection of museum galleries when present at museum front desk Assist the Visitor Services Coordinator in administering record keeping for attendance Aid the Director and Bardo Arts Center staff when needed, as requested. Knowledge, Skills, & Abilities Required for this Position KNOWLEDGE , SKILLS , AND ABILITIES Encourage sales, total price using register, accept payment, make change Maintain daily cash reports when opening, closing, or completing FAM Shop/Box Office/ performance event shifts Follow opening and closing procedures including the delivery of sales records and cash/checks to Business Officer at closing shift Attend training for AudienceView ticketing software and FAM Shop Point of Sale systems Processes ticket sales at box office using ticketing system Maintain and share knowledge of performances and events at the Bardo Arts Center, including knowledge of artists, organizations, and artworks featured in FAM Shop, knowledge of current and upcoming exhibitions in the WCU Fine Art Museum, as well as affiliate events at Bardo Arts Center Maintain tidy and organized display appearance by setting up displays, arranging merchandise, stocking shelves and notifying Audience Services Manager of sold-out inventory Respond to or direct telephone and walk-in inquiries as appropriate, and provide information concerning upcoming performances and events at Bardo Arts Center and University Auditorium, Performance Hall and Studio Theater, current exhibitions on display at the WCU Fine Art Museum, stock availability or artist information. Ensure confidentiality when processing and handling confidential information Perform light cleaning of Box Office/ FAM Shop to maintain tidy and organized workspace Minimum Qualifications APPLICANT REQUIREMENTS High school or GED diploma required.
