To act as front-of-house when receiving visitors to the site, call handling (greeting, responding directly to queries, message taking for colleagues, forwarding calls, logging transport requests) and email management, petty cash management, filing and scanning of documents.
Principle responsibilities
- Attend to the receptionist desk and carry out the following activities:
- Communications:
- Receive and forward incoming phone calls to relevant employees, and taking messages when necessary
- Receive, forward or respond to incoming emails
- Distribute postal mail and small packages
- Make announcements over the shop floor tannoy as requested, including fire alarm warnings
- Meet, greet and direct visitors to sign-ins and receiving colleagues
- Issue customer satisfaction emails and receive responses
- Receiving, scanning and filing completed job cards, proof-of-delivery and any other associated documents
- Manage the petty cash, including cash movement and balance reporting to Head Office
- Receive and log customer transport requests on the company ERP
- Check the payment status of customers 'on hold' prior to deliveries
- Control the car park barrier to permit vehicle entry
- Roll call for site evacuation
Carry out all activities with reference to company operating procedures, data sheets, company MVV, group and site annual targets. Follow company health and safety procedures 5S and housekeeping activities within the working area.
Additional duties
- End of day: lock up reception door and shutters
- Updating job procedures, instructions
- Limited stationary management
- Any other duties as requested by company managers
