Main Purpose of the Role:
The Operations Assistant will provide vital administrative and operational support to the Head of Operations – South, playing a key role in ensuring the smooth day-to-day running of Ambulnz UK's operational services (excluding Community Ambulance Service) across the Southern region. The post holder will be highly organised, proactive, and adaptable, assisting with logistics, reporting, resource planning, governance documentation, and communication across the operational teams. This is a dynamic role suited to someone who thrives in a fast-paced environment and has a passion for delivering high-quality, patient-centred healthcare support services. The post holder will be expected to demonstrate a commitment to excellence, attention to detail and an understanding of operational and clinical environments.
Operational Support:
- Provide day-to-day operational support to the Head of Operations – South.
- Assist in the coordination and scheduling of meetings, rotas, site visits, and training.
- Support with the preparation of operational reports, dashboards and performance summaries.
- Maintain accurate records of actions, decisions and updates relating to operational performance.
- Coordinate site-level logistics including equipment, uniform, fleet documentation and consumables.
Governance and Compliance:
- Assist with monitoring compliance with CQC, local authority and other regulatory standards.
- Support with the maintenance of trackers for mandatory training, incident reporting, and safeguarding compliance.
- Support audit preparation and documentation collation for internal and external inspections.
Communication and External Relationships:
- Develop relationships with a wide range of local and national bodies in the public, private and voluntary sector, representing the organisation in discussions and planning.
- Become the first point of escalation for all customer relationships, providing strategic umbrella escalation.
- Identify and close on business development opportunities.
Communications:
- Serve as a point of contact for the South Operations team, helping to triage queries and escalate as required.
- Support internal communications and ensure key updates are disseminated effectively.
- Work with HR, fleet, and clinical teams to support workforce and service continuity.
Administration and Systems:
- Support with procurement and ordering processes, including liaising with suppliers.
- Accurately input and manage data within operational and clinical systems (e.g. Parim and Deputy (rostering systems) and Radar Healthcare (integrated governance system)).
