Working pattern: 5 days per week
Job Summary: The Sponsorship & Membership Executive will lead on the implementation of sponsorship benefits at ICGN conferences, member-networking events and initiatives. The role involves assisting the membership team with member events and queries. This position requires a highly organised and detail-oriented individual with excellent communication and interpersonal skills.

Sponsorship Responsibilities
Sponsorship Administration:
- Create sponsorship proposals in line with feedback and discount structure.
- Prepare sponsorship contracts, ensuring all paperwork is signed in a timely manner and filed according to event and year.
- Request relevant invoicing details and complete internal forms to be issued to the sponsor as soon as written confirmation is received.
- Follow up with all sponsors to ensure sponsorship payments are received ahead of conference dates.
- Report on sponsorship figures to date, working actively towards sponsorship targets.
- Prepare sponsorship documentation for the annual audit.
Sponsorship Logistics:
- Ensure all sponsorship benefits are delivered, including:
- Ensuring all contracted items are recorded in event planning resources and communicated to event team.
- Uploading logos to event webpages at agreed level.
- Sponsor-speaker details are collated, recorded and website profiles uploaded to event webpages.
- Working with event department, review onsite event printed signage and digital materials to precisely represent sponsor branding benefits and adhere to sponsor branding guidelines.
- Book planning calls to discuss event progress and hosted sessions.
- Issue and confirm VIP dinner table invitations.
- Deliver sponsor hosted webinars in line with contracted benefits.
Sponsorship Research & Development:
- Research new activities to generate sponsorship income and associated delivery costs.
- Conduct competitive research of similar events.
- Lead on website development so sponsorship invoices can be generated and stored online.
Membership Responsibilities
Member Event Logistics:
- Lead on the creation of invitation lists and online webforms to member-only networking events.
- Work with marketing team to issue invitations to member-only events and actively seek and record RSVP’s and answer attendee queries.
- Send meeting final details for member-only events, ensuring information is clearly communicated and answer attendee queries regarding the events
- Issue event feedback forms, store and collate results.
Membership Administration:
- Support with the annual renewal process and be actively involved in preparing for the launch date by supporting with website testing and reviewing data.
- Support by adding users to the website during busy times.
- Respond to membership queries in membership inbox during busy times
- Cover Membership Executive during leave/absence.
Skills, knowledge, and experience
- Excellent communication, interpersonal, and organizational skills.
- Sponsorship and/or event experience.
- Strong written and verbal communication skills in English.
- Proficient in Microsoft Office Suite (Word, Excel, Outlook, Powerpoint).
- Ability to prioritize multiple tasks and work effectively in a fast-paced environment.
- Ability to maintain confidentiality and discretion.
- Strong attention to detail and accuracy.
- Positive attitude, professionalism, and a willingness to learn.
