We are looking for Operations Specialists who are detail-oriented, proactive, and skilled at getting things done efficiently.
Responsibilities
- Coordinate and improve daily operations across departments such as HR, finance, and logistics
- Maintain and update internal documentation, processes, and SOPs
- Support project tracking, reporting, and scheduling across distributed teams
- Manage vendor relationships, subscriptions, and procurement tasks
- Assist with data entry, report generation, and CRM or system updates
- Identify bottlenecks and propose improvements to enhance workflows and efficiency
- Communicate with internal and external stakeholders to support smooth operations
- Use tools like Notion, Asana, Airtable, Google Workspace, Slack, Excel, Trello, and others
Requirements
- Minimum Bachelors degree in Business, Operations, Management, or a related field
- Proven experience as an Operations Specialist, Administrative Coordinator, or similar role (minimum 1 year)
- Strong organizational skills and a methodical, problem-solving mindset
- Experience working with project management and collaboration tools
- Ability to multitask and manage competing priorities in a remote work setting
- Bonus: Experience working with US-based companies, especially startups or SaaS businesses
- Excellent communication, time management, and follow-through skills
- Comfortable working independently and proactively across time zones
