Position Overview: The Property Management Analyst will provide administrative, clerical, and project support to the Property Management team, supporting multiple property managers within a large portfolio.

Key Responsibilities:

  • Support day-to-day property management operations.
  • Engage in special assignments, demonstrating problem-solving and creativity.
  • Assist in rolling out policies and procedures.
  • Support major works and capital expenditure projects.
  • Oversee vacant units, including business rates, utilities, security, repairs, and maintenance.
  • Conduct lease reviews for compliance and improvement opportunities.
  • Process tenant applications, licenses, subleases, and agreements.
  • Arrange and conduct property inspections.
  • Manage invoices and coordinate with finance for payments and cost allocation.
  • Track work orders and update Property Managers.
  • Support initiatives to preserve and increase asset value.
  • Handle post, LOAs, addendums, and welcome letters.
  • Monitor and invoice Property Management fees.
  • Issue non-compliance letters and manage tenant obligations.
  • Oversee ground rent payments.
  • Handle insurance queries and damages.
  • Respond to tenant requests.
  • Assist with business rates data.
  • Support rent and service charge arrears resolution.
  • Assist with scheduling and travel logistics.
  • Support dilapidations management.
  • Maintain property management systems.
  • Contribute to environmental efforts.
  • Ensure data handling complies with GDPR.
  • Coordinate with external partners.
  • Oversee service charges.
  • Prepare reports for internal use.
  • Perform other tasks as assigned.

Candidate Requirements:

  • Experience in commercial real estate or property management, either from consultancy or client side.
  • Experience with commercial real estate documentation, including leases and licenses.
  • Intermediate Excel skills for data analysis and presentation.
  • Ability to handle a high volume of work, meet deadlines, and work under pressure.
  • Excellent organizational, coordination, and administrative skills.
  • Strong communication and written skills.
  • Ability to work independently, prioritize, and adapt quickly.
  • Desirable but not essential: Bachelor’s degree in Real Estate or equivalent experience.
  • RICS qualification.
  • Knowledge of a second European language.
  • Experience with Salesforce or Yardi systems.
