JOB PURPOSE SUMMARY

  • To resource the design department for Havas London.
  • To run and manage the agency’s weekly Design status and allocate resource appropriately.
  • To approve all holiday requests for the design dept.
  • To assist the Head of Operations in various admin duties including freelance contracts and freelance timesheets.

KEY TASKS & RESPONSIBILITIES

  • Resourcing the design department for the agency ensuring that resource arrangements are in place to meet all project requirements.
  • Actively involved in facilitating the recruitment of creative resources and in the hiring of freelance resources for specific projects.
  • Running the creative production status meeting each week ensuring complete understanding of what each creative and designer is working on.
  • Ensuring that all creative and design department members are clear on daily tasks.
  • Approving timesheets for the creative department ensuring that these are correctly assigned and in line with resource deployment plans.
  • Approving holidays for the design department and notifying the creative producers when they are on annual or sick leave.
  • Help to manage the agency creative placement/internship scheme – organising the monthly rotation and booking teams in and liaising with HR on teams coming in, payments and email addresses etc.
  • Maintaining the creative department holiday chart.
  • Excellent communication, organisation and people skills as well as being able to develop strong relationships.
  • An enthusiastic team player with energy to take responsibility for the core team.
  • Ability to anticipate and proactively manage projects.
  • Confident and comfortable commanding a room and pulling a team together.
  • Flexible to work up and down levels to get the job done.
  • Strong negotiation skills.
  • Take risks - don’t play too safe.

  • Stays calm under pressure, positively focused and minded.
