Executive Assistant to the Managing Director – Join Our Team
Location: London, UK (Full-Time) (Hybrid – 3 days in central London Office, 2 days WFH)

What you’ll be doing:
As the Executive Assistant to the Managing Director (MD), you will provide vital high-level administrative support to the MD and play a key role in maintaining the seamless operations of the office. This multifaceted role requires exceptional organizational skills, strong communication abilities, and a proactive approach to problem-solving. You will be an essential part of the team, contributing to an efficient and dynamic work environment.
Key Responsibilities
- Manage the MD’s calendar, scheduling appointments, meetings, and events across time zones.
- Prepare materials for the MD’s engagements and organize comprehensive travel arrangements.
- Draft, proofread, and edit correspondence, reports, and presentations.
- Prepare agendas and reports for meetings, ensuring all details are efficiently collated.
- Handle confidential information with discretion and professionalism.
- Track and reconcile expense reports promptly.
- Be the point of contact for office-related queries and support daily office operations.
- Coordinate with vendors for office maintenance and supplies.
- Assist in wellness activities and contribute to a positive workplace culture.
- Support business improvement projects and maintain key documentation.
- Manage multiple tasks and projects, prioritizing effectively.
About You
- Fluency in English (written and spoken); an additional European language is advantageous.
- Previous experience in executive or personal assistance, office management, or facilities coordination.
- Impeccable attention to detail and a proactive, autonomous working style.
- Excellent organizational and multitasking skills.
- Strong written and verbal communication abilities.
- Proficiency in Microsoft Office 365 (Excel, Word, PowerPoint); Adobe skills are a plus.
- Ability to handle confidential information with professionalism and discretion.
- Positive attitude, flexibility, and strong problem-solving skills.
- Comfort working collaboratively across teams and with minimal supervision.
