Reporting to the New Machines Mining Manager, the Administrator Service Operations is responsible for providing high-level administrative support to the designated area/store/team/branch.

Location: South Guildford, WA

What you’ll do:

  • Provide high-level administrative support to designated teams, branches, or stores.
  • Coordinate and monitor Quality Assurance audits to ensure compliance with WesTrac policies and procedures.
  • Manage site mobilisation requirements, including induction arrangements and daily timesheet accuracy.
  • Encode and price external items onto work orders, ensuring correct documentation and processing.
  • Handle purchase requisitions and oversee the end-to-end purchasing process.
  • Maintain accurate time capture reporting and archive management systems.
  • Facilitate training requirements and support safety and contamination control audits.
  • Build and maintain strong relationships with internal stakeholders and external customers.

Skills and Experience:

  • Proven experience in administrative support within a fast-paced operational or service environment.
  • Strong understanding of compliance, auditing processes, and quality assurance standards.
  • Proficiency in data entry, time capture systems, and managing purchase requisitions.
  • Excellent attention to detail with the ability to manage multiple tasks and meet deadlines.
  • Solid communication and interpersonal skills for engaging with internal teams and external stakeholders.
  • Familiarity with safety protocols, induction processes, and site mobilisation procedures.
  • Competence in using business systems and software (e.g., ERP platforms, Microsoft Office Suite).
  • A proactive, problem-solving mindset with the ability to work independently and collaboratively.
