Here’s where you come in: Job Purpose As a Grant Finance Manager in a response, you will ensure grant budgets are appropriate, that grant financial reports are accurate and timely, and that Response complies with donor requirements; assist with overall program budgeting and ensure operational plan is funded. Key Responsibilities Grants / Projects Financial Management and Reporting Ensure that all grants/projects reports are discussed with the project team and passed to donors and support offices within the required time schedules. Respond to queries regarding these reports from donors, support offices, and internal Response management. Coordinate and review grants/project budget development (proposal, grant, and match). Review and analyze grant expenses and variances to advise stakeholders on expenditure trends and potential issues. Explore ways to reduce overhead costs on grants to ensure WV’s competitiveness without compromising quality. Correspond with WV SOs, donors, and Response management regarding project income, expenditure, and reporting. Ensure project income is sufficiently committed on PBAS, including approval of carry forwards. Be a key player in grants/accounting management to ensure accurate coding of expenses and full compliance with WVI and donor requirements. Occasionally visit project sites to ensure financial controls and procedures are in place. Ensure compliance with donor regulations in all grant transactions and keep the Finance Director informed of major compliance issues. Play an active role in training and mentoring grant finance staff. Develop and maintain networks with SO IPGs, Global Grants Unit, and Regional GAM. Participate in grants start-up workshops and promote best practices within the response office. Risk Management: Ensure all finance team members are refreshed on policies and donor rules. Coordinate with Program Managers to follow up on audit recommendations and address findings. Participate in grant audit preparations. Review risk assessments during grants approval. Provide advice on award terms and ensure implementation within requirements. Assist in developing financial policies and ensure compliance. Ensure proper use of LDRs database system and Costs Allocation Policy. Assist in grant closeouts to ensure compliance. Maintain NO Cost recovery thresholds and engage in negotiations. Ensure 100% BPS compliance. Team Management: Provide leadership and maintain positive communication within the team. Lead recruitment, development, and performance management of grants finance staff. Address performance issues and foster an environment of knowledge sharing. Safety and Security: Be aware of emergency procedures and ensure staff preparedness. Responsible for own and staff security, contributing to a security culture. Report incidents or breaches as per policies. Other duties: Report safeguarding or fraudulent acts. Participate in capacity-building and organizational events. Perform other relevant tasks as assigned. Knowledge, Skills, and Experience: Minimum Requirements: At least 5 years of experience in humanitarian responses, including international experience. Understanding of humanitarian principles and standards. Experience in high-pressure, rapid response environments. Strong communication skills in English. Emotional intelligence and ability to work in high security risk situations. Education and Professional Experience: Bachelor’s or Master’s degree in relevant field. At least 5 years of practical humanitarian work experience. Leadership and team management skills. Proposal, report writing, monitoring, and budgeting skills. Experience with communities, governments, INGOs, donors. Ability to meet deadlines and work cross-culturally. Cross-cultural sensitivity, emotional maturity, stamina.
