About The Role
The Admissions & Compliance Team Leader will oversee and actively participate in two critical functions: visa compliance and admissions. This role requires hands-on involvement in day-to-day processes while providing supervision, training, governance, and supporting business improvement within the Admissions & Compliance team across the SAE and ICMP brands.
As the specialist in visa compliance, this role will provide guidance, support, and training to staff regarding compliance across all current and future visa-controlled categories. The Admissions & Compliance Team Leader will ensure that SAE & ICMP meets all internal and external regulatory requirements related to student matters, including visa regulations, by maintaining accurate records and providing guidance to students and staff.
In the admissions function, the Team Leader will lead a professional and customer-focused service to applicants, ensuring prompt and efficient processing of applications (domestic and international). They will oversee the assessment of student applications through to enrolment, ensuring accurate and detailed record-keeping and adherence to all relevant regulations. Additionally, the Team Leader will coordinate with relevant stakeholders within SAE & ICMP to ensure the admissions process is aligned to organisational and regulatory needs.
What You'll be Responsible For
- Assessing direct applications, including deferrals and applicants through the UCAS platform.
- Identifying applications that require academic interviews, English assessments or needs assessments.
- Coordinating with relevant stakeholders within the organisation to oversee assessments.
- Troubleshooting in terms of dealing with potential fraudulent applications.
- Managing database details of new enrolments.
- Maintaining positive and customer-focused communications with potential students and their parents.
- Ensuring that the documents are complete in all respects as required by any external inspecting body/agency, e.g., QAA, UKVI.
- Regularly updating UCAS data and monitoring all UCAS applications.
- Checking documents and verifying qualifications using ENIC.
- Making conditional and unconditional offers to applicants who meet standard criteria.
- Advising Faculty to assess non-standard applications.
- Creating and updating student records, including ensuring student files are complete with necessary admissions documentation.
- Assisting with student recruitment and supporting student recruitment events.
- Assisting with student enrolment and induction and taking scans of documents (including passports and Visas) as required.
- Processing of applications from Sponsored students to ensure all requirements are met aligned to UKVI requirements and SAE/ICMP policies to be able to issue a CAS.
- Acting as Level 1 User on the Sponsor Management System (SMS) for any Sponsored students through the Student Route and Graduate Route.
- Ensuring SAE/ICMP meets all sponsorship duties to retain Sponsorship Status, undertaking sponsorship activities such as licence renewal, annual BCA, CAS annual allocations and on-site audits.
- Keeping informed of all immigration/visa legislations relevant to students and staff, and keeping SAE/ICMP up to date with relevant changes.
- Maintaining SAE/ICMP procedural documents pertaining to visa checks, expiring visas, withdrawals from study, changes to study plans, visa refusal, Student Route and Graduate Route reporting.
- Ensuring that record keeping, and reporting requirements are maintained across all visa-controlled categories.
- Identifying and verifying immigration status of all non-UK/EU Nationals and providing advice on any restrictions to study and/or work.
- Providing guidance to students with visa applications via email and individual meetings, including checking of the final application prior to submission.
- Checking and copying BRP's to identify errors ahead of enrolment and reporting on the SMS where necessary.
- Providing training to staff on Student Route Sponsor responsibilities and relevant SAE/ICMP policies and procedures, such as attendance monitoring, restrictions on teaching locations etc.
- Providing supervision, guidance, and training to the Admissions & Compliance team.
- Conducting any formal 1 to 1's and/or performance reviews with the Admissions & Compliance Officers conducted by the Director of Student Recruitment & Admissions.
- Ensuring effective oversight of all processes within the team, including database management, communication with stakeholders, and compliance with regulatory requirements.
- Identifying areas for improvement and discussing ideas with the Director of Student Recruitment & Admissions to enhance efficiency and effectiveness.
- Collaborating with the Director of Recruitment & Admissions to develop and implement policies and procedures related to admissions and compliance.
- Acting as a point of escalation for complex admissions or compliance issues.
- Conducting regular reviews and audits to ensure compliance with internal and external regulations.
- Representing the Admissions & Compliance team in meetings and discussions with other departments and external agencies.
- Any other reasonable request from the line manager.
