General Duties and Responsibilities:

  • Manage and oversee the activities of the Landscape Team to ensure efficient and effective operations.
  • Collaborate with the Design, Landscape, Finance, Marketing, and Horticulture teams.

Job Description:

  • Resource Management: Responsibility for overseeing the allocation of manpower, equipment, and materials to ensure optimal utilization and efficiency on site. Develop project schedules, workflows, and procedures to streamline operations and maximize productivity.
  • Supply Chain Management: Work closely with material suppliers, hired-in plant companies, specialist manufacturers, and subcontractors to ensure timely delivery and minimize cost.
  • Fleet Management: Ensure all company vehicles are routinely serviced and MOT'd. Conduct daily maintenance checks on company vehicles and hired-in vehicles and machinery. Keep an inventory and ensure hired-in fleet vehicles are insured.
  • Equipment Management: Ensure all company equipment servicing is kept up to date and safe for use. Keep an inventory of company tools with serial numbers. Manage repairs via agreed suppliers. Source quotations for new machinery purchases to be signed off by a Director. Seek updated cost lists from hire suppliers to ensure competitive pricing and update estimate template.
  • Compliance and Risk Management: Develop and implement policies and procedures to mitigate risk. Ensure compliance with Health and Safety Regulations on site, in the office, and in vehicles. Role to develop as new H&S package is adopted.

Specific Roles:

  • Scheduling: Schedule projects, both long-term and daily. Ensure new projects are entered into the long-term schedule. Produce weekly schedules for Landscape teams and delegate individuals to each project. Ensure weekly schedules for Landscape teams are updated to reflect staff absence and men on site (for cost review by Accounts Team).
  • Projects: Correctly allocate hired-in machinery/plant for each project. Ensure materials are delivered to site on time. Pre-order materials where required to allow for manufacture and delivery. Control and organize the delegation of labor to ensure best use of individual skills and general efficiency on site. Ensure all snagging is noted and undertaken. Conduct pre-project meetings with the foreman constructing each site.
  • Client Communication: Communicate with clients prior to start, during, and sign off at the end of the project. Ensure clients are informed of any changes during the project. Provide end-of-week reports for clients and be the first point of communication with clients on all matters pertaining to the site. Refer to Project Lead for design inquiries.
  • Office: Assist, when required, with drawing up Invoice Summaries for the Accounts Dept. Participate in weekly Operations meetings. Keep Actions Log, Pre-Project, Material Orders, and Snagging tabs up to date to keep operations running efficiently. Maintain an up-to-date snagging list and implement as soon as possible.
  • Staff Reviews: Assist a company Director with staff reviews. Conduct three-month reviews for new starts and annual reviews for long-term employees. Keep records of all reviews. Report to company Directors with any specific training/career development requests and implement as agreed.
  • Health and Safety: Liaise with outsourced Health and Safety advisers. Create a Health and Safety policy. Undertake a review of the current policy for site work, office work, and company vehicles. Establish correct procedures and implement them. Foremen to assist with implementation on site. Health and Safety Training to be undertaken to achieve at least minimum certification.

You will be required to work outside these roles at times and collaborate with all departments to ensure the successful operations of the company.
