You already run calendars blindfolded—now you’re hungry to run the whole engine. Imagine shadowing our CEO, documenting how she wins deals, then hiring the person who replaces you in that very process. What You’ll Do (First 18 Months)

  • 0 - 6 months – Sales Enablement
    • Shadow our CEO on every prospect & partner call.
    • Turn discovery → proposal → close into step-by-step SOPs.
    • Run follow-ups, proposals, CRM hygiene.
    • 10 sales SOPs live
    • All follow-ups sent ≤ 24 h
    • Pipeline data accuracy ≥ 98 %
  • 4 - 6 months – Hire Behind the CEO
    • Draft the JD, screen CVs, and onboard the SDR/AE who will own day-to-day sales admin.
    • SDR/AE hired and ramped
    • CEO fully out of “first + last-mile” sales work
  • 7 - 18 months – Operations Lift-Off
    • Apply the same shadow → document → delegate cycle to HR, finance, compliance, and admin.
    • Run weekly scorecard & Leadership team “L10” agenda.
    • Automate low-value tasks with Zapier / GPT-4o.
    • SOP library ≥ 100 docs (95 % pass QA)
    • Time-to-hire ≤ 30 days
    • CEO low-value tasks < 5 / week

Day-to-Day Snapshot

  • Join / review sales calls → Fireflies transcript → GPT-4o recap in Go High Level.
  • Draft & route contracts via lawyer → DocuSign; chase signatures < 48 h.
  • Maintain Monday company scorecard; flag reds; facilitate L10 agenda.
  • Publish every new process in SweetProcess; schedule quarterly audits.
  • Build Zapier / Make automations; present monthly “hours saved” report.
  • Coordinate seamlessly with our part-time remote PA, full-time marketing & sales coordinator, and customer-success team to keep work flowing.

Who You Are

  • 3 + yrs Executive-Assistant or Rev/Ops experience in a < 30-person firm.
  • Proven sales-process fluency—CRM updates, proposals, follow-ups feel natural.
  • Process architect: shadow, map, SOP, train, and move on.
  • AI / no-code power-user: Zapier, Airtable/Notion, Scribe/Tango, ChatGPT.
  • Adaptable, low-ego, zero-gossip discretion; treat CEO access as a duty of care.
  • Write summaries a busy exec can scan in 20 seconds.
