- Telephone calls.
- Provide statistics to the Admin Team Lead on a weekly/monthly basis as requested.
- Information to be collated using Encompass Admin systems i.e. DAR and other reporting functions available to all staff.
- Maintain Team/Consultant caseloads using the Encompass System.
- Process new patient referrals and manage Encompass Workqueues (waiting list) for team including the new patient, review patient and DNA lists.
- Typing/formatting correspondence using Encompass and/or MedSpeech.
- Send Inbasket messages as appropriate.
- Provide information for ongoing audits.
- Format and forward outcome letters to GP and relevant HCPs via Encompass.
- Book interpreters as required.
- Use eProcurement to manage stock provision.
- Requesting and returning medical notes: maintaining and archiving patient files.
- Manage Consultant and Team diaries including arranging and attending the weekly Consultant/Secretary meetings.
- Manage clinics including managing cancellations, booking appointments and ensuring appropriate outcomes actioned.
- Process incoming mail.
- Providing cover on reception in Mental Health Outpatients as and when required.
- Medical Records duties to include the pulling of clinics within timescales, updating the filing record using Encompass system, processing notes to other trusts, checking of TASK, retrieval of deceased patient files for archiving.
- Attend and contribute to regular staff meetings, supervisions and KSF appraisals.
- Providing cover for admin colleagues during periods of annual leave/sick leave.
- Manage room bookings/clinic booking schedules.
- MHO - Provide support to the Ward Secretary in the processing of MHO forms including being the 2nd check on forms before they are submitted to RQIA.
- Provide cover for Ward Secretary during periods of absence/leave to include assisting with processing MHO forms.
- Other AD hoc duties include:
- Minute ECP meetings as required.
- Arrange taxis/patient transport as required.
- Co-ordinate Transfer meetings as required.
- Data Cleansing.
- Archiving Files.
Systems/Access: Computer log-on, eLearning, Encompass, SharePoint, Maxims read only, CCG, Shared Drive/calendars, Soscare, ECR, Microsoft Teams, Outlook, Word and Excel, eProcurement (Ards PAS read only).
