Job Summary
As the Conveyancing Assistant, you will provide administrative support to the Estate Conveyancer(s), Assistant Divisional Legal Manager, and Divisional Legal Manager. Your role is to ensure an efficient, service-led, and cost-effective plot Conveyancing function that supports the business, especially in relation to plot sales (and associated part exchanges), including accurate contract documentation.
You will need to maintain high standards of presentation and accuracy in all documents and correspondence issued by the department. Additionally, you will assist the Estate Conveyancers in achieving departmental performance targets for dispatching contracts, exchanges, and completions.
You will collaborate with Business Units to gather information necessary for progressing plot transactions. You will attend to routine matters and queries arising before, during, or after the sale of individual plots or developments.
Primary Responsibilities
- Support the Estate Conveyancer, Assistant Divisional Legal Manager, and Divisional Legal Manager in delivering an efficient and service-led plot Conveyancing function supporting the business, particularly in plot sales and part exchanges.
- Assist in keeping internal systems updated with issued papers, exchanges, and milestones to ensure Business Units have the most current plot progression information.
- Issue relevant legal paperwork related to reserved plots, such as preparing contracts and transfer/lease documents, and send paperwork to buyers\’ solicitors.
- Perform general office duties including filing, photocopying, managing incoming and outgoing post, scanning, and handling telephone calls.
- Assist in obtaining property searches (e.g., Local Authority, Drainage and Water) for part exchange properties, as well as pre-completion Land Registry searches.
- Submit monthly service charge payment requests to finance and notify Management Companies of completed plots.
- Ensure completed files are regularly archived.
