We are currently working with an Interior Design client based in Hammersmith who is looking for a FF&E Procurement Coordinator to join their team. This role will involve covering the tendering, purchasing, shipping and delivering of FF&E aspects to projects. A large portion of the role will also involve liaising with the internal teams, stakeholders and clients whilst sometimes covering more than one project at a time.

My client is looking for someone with a minimum of 3-4 years of FF&E procurement experience ideally in a purchasing agent environment and experience working on hospitality projects. They are looking for someone who can hit the ground running within a client-facing role.

The Role

  • To work closely with suppliers, internal/external stakeholders and the client to ensure the budgets set for the project are achieved.
  • To manage the performance of any Assistants to achieve high-quality standards of work and to meet the challenges of the business.
  • To attend project meetings to present reports, budgets and updates on progress.
  • To liaise directly with the client team.
  • To ensure that knowledge is shared across the team and organisation to achieve consistency in standards and easier working relationships.
  • To ensure the project lead is kept up to date with all aspects of your project work.
  • To prepare and issue comprehensive tender/quotation enquiries, analyse return pricing and compile spreadsheet format budgets with all information saved on the Company systems.
  • To ensure that Company procurement processes and procedures are followed.
  • To suggest alternative suppliers and contribute to the value engineering process to meet project financial needs and requirements.
  • To review FF&E specifications for completeness and contractual compliance before release for quote.
  • To coordinate the production of shop drawings and samples for bespoke FF&E items and production inspection visits.
  • To source new Suppliers with the capability and capacity to satisfy different project needs.
  • To liaise with external consultants as and when required.
  • To undertake item take-off for the FF&E from drawings and schedules.
  • To negotiate with the suppliers for the best possible commercial terms and ensure that the goods are manufactured, shipped and installed in time to meet the project budget and programme.
  • To prepare and issue purchase orders, ensuring compliance with company policies and project requirements.
  • To expedite purchase orders and monitor the performance of the suppliers to ensure delivery times are maintained and as per the project requirements.
  • To identify potential risks to the procurement process and develop strategies to mitigate them.
  • To prepare, maintain and present project status reports for internal and external stakeholders.
  • To process all necessary payments to suppliers by liaison with Accounts and keep accurate records of all transactions.
  • To coordinate with logistic teams to manage the shipping process, both direct and indirect, by working with freight forwarders and suppliers.

The Candidate

  • To have previously worked in an FF&E Procurement role with 3-4 years’ experience.
  • To have a working knowledge of contract administration.
  • To have extensive knowledge of a good range of materials & furniture suppliers worldwide.
  • To be good at analytical thinking and problem-solving.
  • To have an enthusiastic attitude to all tasks, flexibility, and versatility according to project requirements.
  • To have good time management by project resourcing and budget.
  • To have the ability to communicate clearly, confidently and professionally.
