This Events Assistant opportunity is positioned in a leading international law firm and is a newly created role on a 12-month fixed term contract to support the planning and execution of a broad range of client-facing and internal events. Reporting to the Senior International Events Manager, the Events Assistant will work closely with partners, associates, and the wider marketing and business development team to help deliver high-quality events that reflect the Firm's strategic objectives. This is a fantastic opportunity for a motivated individual to gain exposure to a wide range of events and marketing activities.

Responsibilities:

  • Assist with the end-to-end coordination of client dinners, receptions, roundtables, corporate hospitality and internal events.
  • Support logistics, including venue sourcing, vendor coordination, catering arrangements, AV support, and on-site assistance.
  • Maintain the Firm’s international events calendar and track key milestones and deadlines.
  • Ensure confirmed bookings are placed into relevant attendees’ diaries and updated with further information as needed.
  • Manage guest lists and event invitations, ensuring compliance with data privacy regulations (GDPR).
  • Coordinate pre-event planning meetings and post-event debriefs, capturing feedback and lessons learned.
  • Assist in preparing event invitations, promotional materials, and follow-up communications in line with brand guidelines.
  • Collaborate with the creative team on printed and digital collateral.
  • Support the Firm's communications team for event promotion, where appropriate.
  • Support the preparation and tracking of event budgets, including invoice processing in the expense and invoice management system, Chrome River.
  • Provide support to the broader marketing and business development team.

Candidate Profile:

  • Previous experience (ideally 12 – 18 months) in event coordination, marketing, or communications, ideally within a law firm and/or professional services environment.
  • Strong organisational skills with excellent attention to detail.
  • A proactive and collaborative approach, with the ability to manage multiple priorities in a fast-paced environment.
  • Confidence in communicating with internal stakeholders and external providers.
  • Familiarity with CRM systems and email marketing platforms is desirable but not essential.
