We have an exciting new opportunity for a switched-on and competent Executive Assistant to provide seamless support to two senior Directors of a private investment firm with a growing and diverse investment portfolio across the UK and internationally. Our client is seeking an exceptional candidate who thrives in a fast-paced, ever-changing environment and who demonstrates outstanding attention to detail, proactive problem-solving, and an adaptable, can-do attitude. This is a varied role with a roughly 75/25 split between Executive and Personal Assistant duties, and it offers the opportunity to become a core member of a tight-knit and high-functioning team. The successful candidate will be a natural gatekeeper and trusted right-hand support to the Directors, playing a critical role in the continued success and smooth running of the firm.
The core working hours for this role are 8:30 am to 5:00 pm, Monday to Friday, with the expectation of flexibility to respond to urgent matters outside these hours when needed. While the role is predominantly remote, the ideal candidate will be based within easy reach of London and willing to travel across the UK for client meetings, events, and corporate hospitality as required. DUTIES INCLUDE:
- Provide comprehensive EA/PA support to two Directors, managing complex and fluid calendars, scheduling meetings, flagging potential conflicts, and ensuring optimum time use.
- Proactively anticipate needs and act with foresight to manage tasks, solve problems, and streamline operations without needing direction.
- Manage travel arrangements, both private and commercial, including international itineraries, ground transport, and accommodation.
- Organise and manage business and personal events, including corporate hospitality and private dining arrangements.
- Coordinate personal appointments, restaurant bookings, and ad-hoc private tasks.
- Act as a point of contact and liaison for internal and external stakeholders, maintaining discretion and professionalism at all times.
- Balance support between both Directors effectively, self-managing priorities with autonomy and good judgment.
- Represent the firm with a personable and polished demeanour, acting as an ambassador both internally and externally.
- Support special projects and initiatives, tracking actions and ensuring deadlines are met.
- Be on-hand for urgent matters outside of core hours, particularly with weekend client hospitality and travel changes. In return, flexibility is offered for personal commitments.
ESSENTIAL CRITERIA:
- A minimum of 2β5 yearsβ experience in a similar EA/PA role, preferably within finance, private equity, venture capital, or a related investment environment.
- Impeccable attention to detail, particularly when dealing with high-value correspondence, scheduling, and client-facing materials.
- Discreet, trustworthy, and highly professional.
- Demonstrated ability to work independently, remain calm under pressure, and anticipate and resolve issues proactively.
- Positive, βcan-doβ attitude with a service-minded and unflappable nature.
- Outstanding communication skills, both written and verbal.
- Technically proficient with MS Office and calendar management tools.
- Flexible with working hours and willing to travel within the UK as required.
