We’re looking for an organised, proactive and detail-driven Project Coordinator to join a leading design and build company based in London. This is a pivotal role that supports various departments including design, construction, and project operations. You’ll be working closely with senior leadership, site managers, and internal teams to ensure the smooth running of commercial fit-out projects from concept to completion.
Responsibilities
- General Coordination
- Take ownership of internal meeting minutes, track deliverables and ensure follow-ups are actioned.
- Manage team calendars and schedule meetings efficiently.
- Organise social and client events when required.
- Coordinate meeting logistics including refreshments and room setups.
- Submit expense claims for senior leadership.
- Manage procurement and delivery scheduling across projects.
- Keep internal project trackers accurate and up-to-date.
- Support the team in ensuring compliance with health & safety, quality, and environmental standards.
- Design Support
- Review and quality-check submission documents.
- Coordinate submission timelines and ensure alignment across teams.
- Schedule and lead submission review meetings.
- Manage formatting and delivery of content with the graphics team.
- Facilitate submission workshops and track all deliverables.
- On-Site & Construction Admin
- Set up health & safety documentation and site systems.
- Maintain and troubleshoot the project collaboration platform (BIM 360).
- Coordinate with Site Managers for on-site delivery needs.
- Collate and quality-check weekly project reports.
- Handle procurement admin and close-out documentation.
- Post-Completion
- Prepare and manage client handover documentation.
- Liaise with subcontractors and consultants to meet post-completion deadlines.
- Organise and minute lessons learned meetings.
- Pre-Construction
- Manage PQQ submissions for new subcontractors.
- Track pre-construction checklists and project packs.
- Minute kick-off meetings and coordinate milestone meetings.
- Organise team site visits and support proposal formatting.
- Sales Support
- Assist with RFI and PQQ submission preparation for new business opportunities.
What We’re Looking For
- A relevant bachelor’s degree.
- Proven coordination experience within a fast-paced, project-led environment.
- Familiarity with design & build or construction project lifecycles.
- Strong communication and organisation skills.
- Comfortable working independently but collaborative by nature.
- High attention to detail and a proactive approach.
- Ability to remain calm under pressure and juggle multiple priorities.
- Proficient in Microsoft Outlook, Excel and Word.
