The Facilities Maintenance Coordinator is responsible for overseeing the facilities ticketing system and ensuring that all maintenance and repair requests across America's Thrift Stores locations and support facilities are completed in a timely and effective manner. This role coordinates with vendors, manages service providers, and ensures that work meets company standards. The Facilities Maintenance Coordinator plays a key role in maintaining clean, safe, and operational environments without directly performing maintenance work.
Roles and Responsibilities
- Manage and monitor the facilities ticketing system, assigning work orders and tracking progress to completion.
- Coordinate with third-party vendors, contractors, and service providers to ensure timely and high-quality maintenance and repair work.
- Serve as the primary point of contact for store managers and internal teams regarding facility issues and service requests.
- Maintain detailed records and reports related to work orders, vendor performance, service timelines, and facility needs.
- Oversee routine facility operations, including scheduled maintenance and urgent service calls.
- Ensure vendors comply with safety standards, brand expectations, and regulatory requirements.
- Support the setup and coordination of new store openings, remodels, and facility upgrades.
- Review vendor invoices and ensure work is completed satisfactorily before approving payment.
- Assist in developing and managing the maintenance budget and contribute to capital planning efforts.
- Conduct remote or on-site assessments as needed to evaluate facility needs and project status.
- Maintain compliance with local, state, and federal regulations, including OSHA and EPA guidelines.
- Build and maintain vendor relationships, including contract negotiation and performance monitoring.
Skills and Qualifications
- 2+ years of experience in facilities coordination, preferably in retail or multi-location environments.
- Demonstrated ability to manage maintenance ticketing systems and oversee vendor-delivered services.
- Strong organizational and project management skills with attention to detail.
- Experience working with external contractors and vendors.
- Excellent communication and interpersonal skills.
- Proficiency in Microsoft Office Suite and facilities management software.
- Ability to manage multiple priorities and work in a fast-paced environment.
- Valid driver's license and clean driving record.
- Must pass a background check, motor vehicle report, and drug screen.
Physical Demands:
- Frequently - Carrying up to 50 lbs., pushing and pulling up to 25 lbs., lifting up to 50 lbs., climbing up to 14-foot height, balancing, stooping, kneeling, crouching, handling and smelling.
- Frequently - Walking on tile/concrete, bending, feeling, and reaching waist/overhead level.
- Continuously - Standing on tile/concrete, talking, seeing, and hearing.

- Mostly regular and weekend hours, occasionally working evenings and holiday hours as needed.
- Working environment includes inside of building with semi-controlled temperatures and outside conditions with varying weather and temperatures.
