We are recruiting for a Facilities Administrator to work as part of a small team based in LE2 to work part time with parking.
Property Management Responsibilities
We are seeking a reliable and organised individual to assist with property management duties on a part-time basis. The working hours for this role are 5 hours per day, Monday to Thursday (9:30 AM - 3:00 PM).
- Maintenance & Repairs
- Respond promptly to maintenance and repair requests from tenants or residents.
- Coordinate and oversee routine maintenance tasks such as cleaning, gardening, and communal lighting.
- Schedule and liaise with approved contractors for specialist works (e.g., plumbing, electrical, pest control).
- Serve as the primary point of contact for all tenant and resident queries, issues, and complaints.
- Issue formal correspondence including notices, updates, and service-related communication.
- Organise and support resident meetings where required, maintaining a professional and approachable presence.
- Arrange access to properties for contractors, utility providers, and deliveries as necessary.
- Manage the secure issuance and replacement of property keys and access fobs.
- Ensure all managed estates are adequately and appropriately insured at all times.
- Handle insurance claims involving property damage, loss, or liability.
- Monitor compliance with lease or tenancy terms, including rent reviews and general obligations.
- Maintain up-to-date estate records, tenant files, and property documentation.
- Log and track maintenance issues, incidents, and resolutions using internal systems.
- Liaise with landlords, letting agents, and freeholders to ensure smooth property operations.
- Authorise quotes and process payments (with director approval), managing document flow efficiently.
- Use Microsoft Excel confidently for tracking budgets, generating reports, and maintaining records.
- Carry out ad hoc administrative tasks while maintaining well-organised and compliant filing systems.
